Western Suffolk BOCES anticipates an opening for a District Data Coordinator. Salary range $95,000-$105,000 based on experience.Responsibilities of the District Data Coordinator DDCs are responsible for implementing accurate reporting of individual student data. Specific responsibilities include:Assemble and lead a team of district personnel who have: • Technical expertise in the district’s student information management system(s) for both general education and special education data, and infrastructure • Working knowledge of current reporting requirements • Knowledge of the district’s registration materials and processes • Data analysis experience • Background in instructionDefine and document data collection standards, with consideration of the following: • Department configurations and staff responsibilities • Alignment with state codes for state and federal reporting requirements • Consistency across departments and functions Review management systems for alignment to standards, with consideration of the following:• Flexibility of the system in terms of adding fields or screens • Capabilities for staff to update/change validation tables • Documentation of all processes and procedures for current and future staff • Communicate data standards across divisions• Coordinate and facilitate district data team meetings • Obtain authorization for school and district personnel to view student records in, and obtain reports from, the repository system. In order to ensure the confidentiality of student records as required by the Family Education Rights and Privacy Act (FERPA), only individuals with a legitimate educational interest should be able to access data in the State Repository System (see http://www.ed.gov/policy/gen/guid/fpco/ferpa/index.html). • Provide status reports regarding the district’s compliance to the superintendent and respond to requests for data for analysis purposes • Identify training needs for support staff • Monitor compliance with regard to data standards and maintenance of records • Submit requests for data extracts that conform to the Data Warehouse file formats • Act as the liaison between the district and the Regional Information Center • Secure the certification of the data by the school superintendent prior to data transmission by the Regional Information Center • Direct or assist in the direction of the data analysis activities and instructional improvement initiatives • Attend informational sessions provided for DDCs by the RIC• Monthly District Data Coordinator meetings • User meetings for supported student systems Specific to WS BOCES1. Crisis Prevention Institute (CPI) a. Set-up, manage and document instructor certification and staff training. b. Develop CPI Budget 2. NYSED Portal – Match NYSSIS numbers for Special Education students3. Regents Assessments - a. Order, review and manage the scanning of the Regents scantrons for Spec. Ed b. Responsible for getting testing data results from the RIC and having it uploaded to APPR vender (RRT) as well as sharing it with the Principals of Special Education Programs c. Ensure that CTE and Spec. Ed Admin are trained in updated procedures4. 3-8 NYSTP Assessments – District Testing Coordinator for NYSTP (Special Education) a.Order the assessments, and review and manage the scanning of the NYSTP scantrons b.Assist in the implementation of computer-based testing (CBT) for 3rd and 6th grade NYSTP students c. Assist in coordinating staff training for CBT d. Obtain testing data results from the RIC; upload to APPR vendor (RRT); share with principals5. 3-HS NYSAA Assessments – District Testing Coordinator for NYSAA (Special Education) a. Develop Teacher Accounts, Student Accounts and roster classes in the DLM system the testing of 3-HS NYSAA students. b. Obtain testing data results from the RIC/SED; upload to APPR vendor (RRT); share with principals6. Student Information Repository System (SIRS) Reporting– a. Responsible for having data loaded, reviewing data, correcting data and having reports certified/verified by Superintendent (i.e. BEDS) (for CTE and Special Education)7. Annual Professional Performance Reviews (APPR) – Teacher Observations and Student Performance a. Manage Right Reason Technologies’ (RRT) AAPR system (i.e. set-up/deactivate user accounts, review and correct class uploads, roll over programs and staff data, set up teacher observation forms and procedures etc.) b. Develop Student Learning Objectives (SLOs) and provide training for principals to tag teachers and students to SLOs c. Manage Teacher Observation data input and calculations d. Manage SLO data input and calculations e. Work with APPR consultant to address all aspects of SLO calculations and final APPR scores etc. f. Work with the RIC to export all student testing data to RRT8. Coordinate, collect and submit agency reports for a. Annual BEDS data b. Annual VADIR data c. Annual Civil Rights reporting data9. Serve as Coordinator for BOCES Assessment Reporting System (BARS) – a. Set up and update staff accounts b. Liaison between ES BOCES and WS BOCES for BARS (i.e. data upload, resort feature etc.)QUALIFICATIONS: Must have NYS SDL Certification. Minimum of three years’ successful classroom and leadership experience. Successful experience in data management and support, computer programming preferred. Successful experience facilitating instructional teams in the use of data to guide instruction. Demonstrated skills in human relations, communications, problem solving and organization.
