Howard, Jr., Superintendent of SchoolsSecretary IDistinguishing Features of the Class: The work involves assisting in the administration of an office to increasethe effectiveness of the staff and carrying out the day-to-day activities required to accomplish the work. Thework is performed in accordance with general instructions and objectives. The incumbent works under generalsupervision with leeway for independent judgment, receiving detailed instructions only where policies have notbeen determined. May supervise a small clerical staff. Does related work as required.Typical Work Activities: (Illustrative only)Assists in the organization and coordination of the administrative duties of an office;Handles incoming correspondence and types routine replies;Handles telephone calls and visitors responding to questions;May assist in coordinating and arranging meetings or travel arrangements;Orders supplies and materials for the office;Maintains confidential files and general office files;Schedules use of departmental facilities; Types correspondence, memos, and other materials using typewriter, word processor or personal computer.Full Performance Knowledge, Skills, Abilities and Personal Characteristics:Thorough knowledge of agency policies, procedures and functions; good knowledge of office terminology andvocabulary; good knowledge of office practices, procedures and principles of office management; ability toestablish effective working relationships with a variety of people at all levels of the department; ability toanalyze and summarize information; ability to supervise the work of others; ability to use modern officeequipment including all types of alphanumeric keyboards; ability to type at a rate of 35 words per minute;ability to handle confidential matters with good judgment; physical condition commensurate with the demandsof the position.Minimum qualifications:Graduation from high school or possession of a high school equivalency diploma and four years of clericalexperience involving typing, two years of which shall have been in an administrative of supervisory capacity;ORA. An associate degree in secretarial science or related field and two years of clerical experience which shallhave been in an administrative or supervisory capacity; ORB.
