DISTINGUISHING FEATURES OF THE CLASS: This is clerical work involving responsibility for performance of standard account-keeping practices and records, including keyboarding. The incumbent works under direct supervision on routine assignments which are done in accordance with defined procedures; detailed instructions are provided for new or unusual assignments. The work is reviewed by observation, cross-checks, or by the immediate supervisor and by other steps in the account-keeping process. An Account Clerk also does related work as required.EXAMPLES OF WORK: (Illustrative only)Greeting people at the front office answering calls, taking messages, and redirecting them when necessary.Maintaining effective records and administration.Preparing and disseminating correspondence, memos, and forms.Manage the daily/weekly/monthly agenda and arrange new meetings and appointments (producing agendas and taking minutes).File and update information on employees, students, suppliers, and external partners.Support and facilitate the completion of regular reports.Managing school website.Check frequently the levels of office supplies and place appropriate orders.Undertake occasional receptionist duties.The ability to perform routine administrative functions such as: drafting correspondences, scheduling appointments, organizing files, and providing information to callers.Manage the day-to-day operations by answering phones, sending emails, organizing meetings, and taking minutes for important discussions.The ability to multitask, stay organized and be friendly at the same time.Possess excellent communication skills, which include professional phone mannerisms.The ability to deal with sensitive information; be discrete and respect confidentiality. REQUIRED KNOWLEDGE, SKILLS, ABILITIES: Working knowledge of office terminology, practices and procedures; ability to perform prolonged fine-finger movement on a keyboard at a predetermined rate of speed and accuracy; ability to write legibly; ability to organize and maintain records and files; ability to understand and interpret oral and written instructions; ability to perform detailed work involving visual effort and strain.MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma including or supplemented by courses in bookkeeping.
