SummaryUnder general direction, the individual acts as a part-time Clerk to the elected members of the Board of Education of the Highland Falls-Fort Montgomery Central School District with responsibility for notification of meetings, preparing and distributing agendas; preparing official minutes of meetings; maintaining records and acting as Records Access Officer; and providing information on Board activities. Acts as liaison between the Board and the Superintendent of Schools and between the Board and the public. Job Description of the District ClerkAttending all meetings of the Board, keeping a record of its proceedings, and recording, by name, those in attendance; Preparing Board meeting minutes, obtaining approval of the minutes by the Board at the next meeting, signing the minutes to signify their official standing, and forwarding copies of the minutes to each Board member;Sending notices of special meetings to Board members; contacting and communicating with members as required;Ensuring that the proper legal notices and announcements are published on all specifications and items out on bid, in accordance with state law;Maintaining an up-to-date record of Board policies and by-laws; Delivering to, and collecting from, the President (or Vice President) papers for signature as may be necessary; Distributing notices to the public announcing availability of budget copies to be presented at the Annual District Meeting in compliance with the requirements of the State Education Law; Administering oaths of office; Giving written notice of appointment to persons appointed as inspectors of election; Calling all meetings to order in the absence of the President and Vice President; andAssuming other duties customary to the office as assigned periodically by the Board. ExperienceDistrict Clerk experience is preferred;Office clerical/administrative assistant with previous experience working in a school district, legal or corporate office.RequirementHigh school or high school equivalency diplomaPreferred QualificationsFive (5) years of secretarial, administrative or office management experience involving the use of automated office equipment having worked in a public school system or government entity.Must have knowledge in Microsoft Word, Google and other software used by the District.Must be or immediately become proficient in BoardDocs, the software system used for information regarding Board meetings and policies.Must have excellent interpersonal relations skills, be professional and detail oriented.Notary public is preferred but not required.SchedulePosition requires attendance at board meetings, typically in the evening during the week.Candidates should submit a cover letter and resume for consideration.
