Secretary to School Principal - ProvisionalPLEASE READ THIS ENTIRE POST AND ONLY APPLY IF YOU AGREE TO THE TERMS OF WESTCHESTER COUNTIES PROVISIONAL APPOINTMENT.Start Date: September 5, 2023Application Deadline: August 22, 2023Compensation: $54,791 - $62,987 or per contractual terms for internal candidatesReports to: Junior-Senior High School PrincipalDescription: The Edgemont Union Free School District seeks a collaborative, motivated, andhighly-qualified candidate for a full-time, twelve-month secretary to the high schoolprincipal position at Edgemont Junior-Senior High School.Under the supervision of the Junior-Senior High School principal, the employeeperforms executive secretarial services for the Junior-Senior High School principal,relieving the principal of administrative details. The position requires a full range ofcomputer operating skills to maximize equipment capability in compiling andproducing correspondence, records, reports, files, etc. The position also requiresfrequent independent judgment in applying prescribed methods and procedureswhere policies have already been established. We are eager to consider applications from traditionally underrepresentedgroups.Required Skills: Thorough knowledge of the responsibilities of an executive secretary; thoroughknowledge of general business terminology, procedures and equipment; goodknowledge of business English, spelling and arithmetic; good knowledge of thecapabilities of computer systems equipment to produce various formats/documentssuch as correspondence, reports, tables, charts and file storage/retrieval; ability tomanipulate a standard alphanumeric keyboard at a rate of not less than 35 words perminute; ability to effectively use computer applications such as spreadsheets, wordprocessing, calendar, e-mail and database software; ability to understand and carryout complex oral and written directions; ability to compose and edit routine lettersand memoranda; ability to handle administrative details independently; ability todeal effectively with others; ability to read, write, understand and communicate inEnglish sufficiently to perform the essential functions of the position; ability tocompile data and prepare reports; ability to develop and maintain good workingrelationships with others; clerical aptitude; accuracy; resourcefulness; initiative;physical condition commensurate with the duties of the position.Examples of Work Under general supervision:Under general supervision (illustrative, not representative of all tasks) Performs executive secretarial services for the Principal Serves as receptionist for the Principal's Office Maintains records, files, and reports for the Principal Facilitates meetings for the Principal Coordinates Principal's calendar Greets and responds to inquiries from parents in person and on the telephone Acts as a conduit of information relating to school issues (custodial,cafeteria, faculty,student, parents, nurse, and administrators) Answer telephone calls for the Principal Assists the Principal with special projects that emanate from the Principal'soffice Assists the Principal with the oversight of purchase orders relating to theschool budget and processing purchase orders under TE accounts Assists the Principal with the processing of personal day requests andconferencerequests Assists the Principal with the processing of accident reports Assists the Principal with the processing conference reimbursements Assists the faculty in submitting requests for additional payment requests Assists the Principal with correspondence with the Superintendent ofSchools Assists the Principal with the preparation of faculty/staff appointments Assists the Principal with the annual budget-building process Performs a variety word processing applications for the Principal's office Makes use of Infinite Campus and nVision computer programs Maintains complex and confidential records and files, both manually and onthe computer Coordinates the photocopier service calls for the faculty lounge machine,troubleshooting, and paper ordering for the high school Inputs data in Infinite Campus - Student Emergency forms grades 7 - 12 Assists the Principal with the annual Bluebook publication Assists the Principal with various school-wide mailings Coordinating role in preparing for the high school awards assembly Coordinating role in high school graduation ceremony Coordinating role in the preparation of the high school diplomas Assists the Principal in closing budget issues at the end of the fiscal year Creates requisitions in nVision for Middle School, ENL, Co-Curricular, andall Departments using the Principal's Budget Codes, screens, and logs inincoming mail in the Principal's office Assists the Principal in responding to routine correspondence Compiles and prepares information for the Principal's use for monthlybudget status reports Compiles information to prepare recommendations for acceptance of highschool gifts and acknowledgments for the Board of Education. Participates in office mailings as well as school-wide mailingsMinimumQualifications:This provisional appointment shall be made in accordance with the provisions ofSection 65 of the Civil Service Law which provides that whenever there is noappropriate eligible list available for filling a vacancy in the competitive class,the appointing officer may nominate a person to the Commissioner of HumanResources, and if such nominee shall be certified by the Commissioner ofHuman Resources as qualified, he may be appointed provisionally to fill suchvacancy until a selection and appointment can be made after competitiveexamination. A nominee for provisional appointment shall meet the minimumqualifications as stated in the official job specification for the position in orderto be certified as qualified for provisional appointment by the Commissioner ofHuman Resources.To be eligible for a provisional appointment in this areas the following is required:Graduation from high school or possession of a high school equivalency diplomaand either (a) five (5) years of secretarial experience in support of higher leveladministrator(s), or a department or unit head, three (3) years of which must haveinvolved the use of computer applications to maintain records and producecorrespondence; or (b) graduation from a post high school secretarial or businessschool with a degree or certificate* in secretarial sciences, office technology orclosely related field and three (3) years of the specialized experience using computerapplications as described in (a).Substitution: Satisfactory completion of 30 college credits** may be substituted on ayear for year basis for up to four (4) years of the secretarial experience describedabove.
