Announcement of Anticipated Vacancy- Edgemont UFSDSecretary to the Chief School OfficerPosition Overview:The Secretary to the Chief School Officer plays a crucial role in providing administrative support to the Chief School Officer and ensuring the smooth functioning of the administrative office. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Secretary will serve as a key point of contact for internal and external stakeholders, maintaining confidentiality and professionalism at all times. Responsibilities:Administrative Support: Provide comprehensive administrative support to the Chief School Officer, including managing calendars, scheduling appointments, and coordinating meetings and conferences.Communication Management: Handle Incoming and outgoing communications, including phone calls, emails, and written correspondence. Ensure timely and accurate dissemination of information to relevant parties, and the ability to prioritize multiple tasks simultaneously.Document Management: Prepare, edit, and proofread documents, reports, and presentations. Keep records of teacher certifications as well as observation and evaluation reports. Maintain an organized filing system for easy retrieval of information.Meeting Coordination: Schedule and coordinate meetings, prepare agendas, and take accurate minutes. Distribute meeting materials and follow up on action items, as necessary.Travel Arrangements: Make travel arrangements, including booking flights, accommodations, and transportation, for the Chief School Officer.Record Keeping: Maintain accurate records and databases, including personnel files, financial records, and other confidential information. Ensure compliance with data protection regulations and complete all required federal and state reports. This includes maintaining a record of teacher attendance at conferences and professional development opportunities. Record keeping also includes creating and maintaining files for tuition students including contracts and follow up for payments.Office Management: Oversee the day-to-day operations of the administrative office, including managing office supplies, equipment, and facilities. Coordinate with relevant departments for maintenance and repairs.Liaison and Relationship Building: Serve as liaison between the Chief School Officer and internal staff, parents, students, and external stakeholders. Build and maintain positive relationships with all parties.Event Coordination: Assist In organizing and coordinating school events, such as parent teacher meetings, board meetings, and community outreach programs.Confidentiality: Handle sensitive information with utmost confidentiality and discretion, maintaining a high level of professionalism and integrity.Board Meetings: Prepare board meeting agendas in a timely and efficient manner consistent with New York State requirements and Open Public Meeting Act.Other: Complete all other duties and tasks assigned. Qualifications:- High school diploma or equivalent, additional certification in office administration or college degree is a plus. - Proficient in Word, Excel, PowerPoint, and all other office software- Proven experience as an executive secretary or administrative assistant preferably in an educational setting- Excellent verbal and written communication skills.- Strong organizational and time management abilities.- Discretion and ability to handle confidential information.- Professional demeanor and strong interpersonal skills Note: This job description is intended to outline the general responsibilities and qualifications to the Secretary to the Chief School Officer.
