Number of Positions: 1Salary: $34,520 - $50,577 commensurate with experienceLocation: Ballard Road Conference Center, WiltonWork Hours: Monday - Friday 7:30 AM -3:00 PMThis position is responsible for assisting the head of a department or major division with administrative details that are somewhat routine, management oriented and able to be answered in accordance with organizational policies and procedures, as well as applicable law and collective bargaining agreements. The position requires a high degree of professionalism, mature judgment, and knowledge of programs and procedures. Specific duties will vary with the needs of the department or division. The incumbent works under the supervision of the department head, but enjoys some moderate level of autonomy when carrying out the day to day activities of the office. The incumbent may be defined as a lead worker of a group within a unit, section or department. Does related work as required.Responsible for a broad range of complex clerical and administrative operations which require an understanding of specific provisions of organizational rules, policies or procedures;Relieves the head of a department or major division of administrative details such as calendar management, meeting scheduling and conference arrangements as well as relieving the official of contacts which should properly be made with subordinate staff; answers routine questions in accordance with guidelines and policies, with more complex matters referred to the supervisor;Manages a large work volume, along with frequent interruptions, shifting work priority, rush orders and conflicting priorities;Explains information or informs others of BOCES regulations, policies and/or programs;Maintains external contacts with the public and other agencies to assist in solving mutual problems, develop improved services and public relations;Collects and compiles data and statistics, makes organizational workflow and procedural recommendations, to assist in the solution of administrative problems;Reads incoming mail, conducts general correspondence and routes balance to proper official or unit; processes and follows up various types of requests and claims;Coordinates and supervises record keeping, inventory of departmental/division supplies and equipment, makes recommendations for purchases and manages purchases for the department/division;Performs any and all administrative duties that may be assigned;Thorough knowledge of office terminology, procedures and methods;Good practical application of business arithmetic principles: good knowledge of the functions of local government and the character of relationships between departments and between public and private agencies; ability to organize, assign, coordinate and review the work of clerical subordinates as assigned;Ability to understand and carry out complex oral and written directions;Ability to prepare correspondence and reports; ability to present oral and written comments and opinions clearly and concisely;Ability to secure the cooperation of others utilizing excellent interpersonal skills;Ability to deal effectively with the public; ability to readily acquire familiarity with departmental organization, functions, laws, policies, and regulations;Good judgment in solving complex clerical and administrative problems, initiative and resourcefulness;Tact and courtesy, integrity, physical condition commensurate with the demands of the position. Proficient in the use of Word, Excel, PowerPoint, databases and other office technology, with a high degree of accuracy.Minimum Qualifications:Graduation from a regionally accredited or New York State registered college with an Associates’ degree and four (4) years of experience working as an assistant to management in an office setting; ORGraduation from high school or possession of a high school equivalency diploma and six (6) years of experience working as an assistant to management in an office setting;Diverse candidates are encouraged to apply.Note: Vacancies are filled by a certified list provided by Washington County Civil Service.
