Number of Positions: 1Salary: Per SABEA SRP ContractLocation: Ballard Road Conference Center, Wilton Work Hours: Monday - Friday 8:00am-3:30pmThis position involves the independent performance of a variety of secretarial duties necessary for the efficient operation of a school or program office. A full range of skills are used in the operation of a computer to compile and produce correspondence, records, reports and files. The position is characterized by managing complex record systems and by assisting the Principal and professional school staff in the performance of their more routine, highly structured duties, using frequent independent judgment in the application of prescribed methods and procedures where policies have already been established. A considerable amount of contact with the public, students, families, home school districts and/or fellow employees will require that the incumbent develops a thorough knowledge of the district/office policies and procedures and communicates in a clear and tactful manner. The incumbent reports directly to and works under the general supervision of the Principal. Does related work as required.Performs a variety of secretarial functions for the Principal including opening, sorting and screening incoming mail, preparing documents, answering telephone calls, responding to or referring inquiries to the appropriate party;Maintains a complex and confidential manual and electronic records and files, ensuring that material is properly marked and accessible for immediate use by the Principal;Maintains a calendar of appointments for the Principal, ensuring the Principal is apprised of all appointments and changes as well as matters requiring immediate attention;Schedules appointments and meetings;Prepares materials and takes notes at meetings, completing them in final document format;Creates a schedule of staff evaluations, notifies appropriate parties, compiles necessary paperwork and uses a tracking system to ensure completion in a timely manner;Prepares a variety of administrative paperwork at the direction of the Principal and forwards it to the appropriate administrator for authorization;Compiles data and background materials to assist in various administrative and professional activities to be used as a basis for reports;Schedules applicants for interviews and prepares necessary paperwork;Schedules, and assists in the preparation of major school functions such as graduations, open houses and school assemblies;Schedules room usage, proctors, testing accommodations, prepares printed materials for student assessments and compiles test scores for student assessments in fall and spring;Arranges and schedules substitute personnel for job vacancies and manages reporting for long term staff absences;Oversees staff sign-in/out procedures;Drafts letters in regard to student discipline and maintains state-mandated VADIR tracking system;Contacts local law enforcement/emergency personnel if necessary in handling disciplinary and medical student incidents.Minimum Qualifications:Graduation from a regionally accredited or New York State registered college or university with an Associate’s Degree in Secretarial Science, Secretary and Office Studies, Secretarial Arts, Secretarial Technology, Business Office Technology, Business Administration, or related field; ORGraduation from high school or possession of a high school equivalency diploma and two (2) years of office experience involving the proficient use of a variety of computer software, including word processing, database and spreadsheet applications.Diverse candidates are encouraged to apply.Note: Vacancies are filled by a certified list provided by Washington County Civil Service.
