Numbers of Positions: 1Location: Hudson FallsWork Hours: Monday - Friday 8:00am-4:00pmThis is critical clerical work which involves responsibility for performing complex secretarial support for an Executive-Level Administrator at BOCES requiring a high degree of professionalism, mature judgment, and knowledge of programs and procedures. Work is performed in accordance with general instructions received from the Executive Administrator with considerable leeway for initiative and independent decision making in carrying out assignments and maintaining a responsive, customer-focused office consistent with the BOCES mission. The position calls for the exercise of extraordinary discretion and confidentiality on the part of the Executive Secretary due to the sensitivity of information within the scope of responsibility. Supervisor responsibilities may be delegated or assigned to the Executive Secretary. Does related work as assigned.Performs confidential secretarial support for aspects of the Executive Administrator’s work, including:Processing and maintaining confidential personnel information and recordsCollecting data related to staff performance reviewsAssisting the Executive Administrator in preparing for staff disciplinary proceedingsDoing research and preparing for collective bargaining, BOE policy development and the processing of grievances Independently coordinates meetings and appointments, prepares documents and presentations in a variety of formats, as needed, takes and distributes minutes and arranges technology for presentations. Maintains accurate records, correspondence, databases and, as needed, conducts analysis as assigned by the Executive Administrator. Manages correspondence of a confidential nature regarding selected BOCES legal matters, labor negotiations, staff, student and district information as assigned. Communicates with and acts as a liaison with the BOCES senior management team and public officials (school districts, New York State Education Department and other state agencies) and non-public officials on behalf of the Executive Administrator. Navigates confidential electronic data systems at the State Education Department, school districts and BOCES on behalf of the Executive Administrator. Collaborates in the preparation, analysis and reporting of student and staff data for the BOCES supervisory district. Performs other duties as assigned by the Executive Administrator.MINIMUM QUALIFICATIONS:Graduation from a regionally accredited New York State registered college or university with a Bachelor’s degree in Business Administration, Computer Science, or related field and two (2) years of experience in an office setting; ORGraduation from a regionally accredited New York State registered college, university or technical school with an Associate’s degree in Business Administration, Secretarial Science, Computer Science, Paralegal Studies or related field and four (4) years of experience in an office setting; ORGraduation from high school or possession of a high school equivalency diploma and six (6) years of experience in an office setting.Diverse candidates are encouraged to apply.Note: Vacancies are filled by a certified list provided by Washington County Civil Service.
