Western Suffolk BOCES anticipates an opening for a Clinical & Laboratory Coordinator for Practical Nursing. This is an hourly position. Western Suffolk County location. Position Summary The Clinical & Laboratory Coordinator supports the administration and operation of the Practical Nursing Program’s clinical and laboratory components. This position is responsible for coordinating clinical placements, maintaining communication with clinical affiliates, organizing required student and faculty clinical documentation, supporting laboratory operations, and assisting with program compliance, evaluation, and accreditation-related activities. The Clinical & Laboratory Coordinator works collaboratively with the Program Director, nursing faculty, clinical affiliates, and support staff to ensure the effective implementation of clinical and laboratory instruction. Essential Duties and Responsibilities Clinical Coordination Enter student and instructor information into clinical affiliate portals and maintain required access records. Monitor and manage communication with clinical affiliates regarding placements, rosters, facility requirements, and clinical scheduling. Participate in communication and coordination with the Nassau/Suffolk Council and administrative representatives of affiliated clinical agencies regarding clinical placements and scheduling. Develop and maintain clinical calendars for all PN program to include clinical affiliates and Nassau/Suffolk Council placements for the fall, spring, and summer terms. Develop the program clinical calendar in coordination with the Program Director and in alignment with the academic calendar. Coordinate and oversee student and instructor clinical assignments, including student rotation schedules within facilities and faculty coverage across clinical sites throughout the semester. Communicate with clinical sites, instructors, and clerical staff regarding rotations, facility policies, roster assignments, and submission of required clinical documentation, including rosters and medical attestations. Coordinate with the instructors and students for Clinical Orientation to include Clinical Syllabus, concept map, weekly clinical assessments and assignment grading. Collaborate with the Program Director regarding student notification of physical, medical, and other clinical documentation requirements necessary for participation in clinical rotations. Track, organize, and maintain clinical affiliation agreements, certificates of insurance, and related documentation; assist with renewal and follow-up of clinical affiliation agreements. Monitor student health and physical documentation submissions and communicate with the appropriate medical/physical coordinator regarding compliance with clinical requirements. Maintain and distribute clinical site orientation materials and folders for clinical instructors. Orient and onboard new clinical instructors to required clinical documentation, affiliate portals, modules, and facility-specific requirements; provide onsite orientation support as needed. Curriculum, Accreditation, and Program Documentation Maintain clinical curriculum materials, including concept map, evaluation rubrics, student evaluation forms, specialty care assignments, and other clinical instructional documents. Review the program’s curriculum, systematic evaluation plan, and related documents required by accrediting and regulatory agencies. Update program documents on an ongoing basis and in accordance with established review schedules. Maintain evaluative data and supporting documentation for program review, self-study, site visits, and accreditation activities. Laboratory Coordination Coordinate with lead instructors regarding laboratory assignments, scheduling needs, and support required for laboratory evaluation days. Collaborate with nursing instructors to arrange faculty assistance for laboratory evaluation activities. Coordinate the integration of simulation laboratory activities, including SIM lab and simulation/EMR resources, use of Anatomage table into student and instructor schedules. Organize, inventory, and monitor laboratory supplies and equipment; assist with data collection and planning for supply and equipment ordering. Coordinate laboratory support services for nursing students based on program needs, curriculum requirements, and identified student risk factors. Communicate with lead instructors regarding laboratory curriculum needs, student skill deficiencies, and learning barriers that may require intervention or additional support. Provide instructors with essential laboratory supplies or equipment to support learning in the classroom. Other Responsibilities Perform other duties as assigned by the Program Director and/or administrator. Provides assistance to the Instructors with proctoring exams, analysis and reports. Coordinate remediations and extra assistance for students in Theory and Lab. Minimum Qualifications Current New York State licensure as a Registered Professional Nurse or Licensed Practical Nurse, as required by program and regulatory standards. Minimum of three (3) years of clinical teaching experience in a nursing education or nurse training program. Demonstrated knowledge of clinical compliance requirements, student health and medical documentation processes, and clinical scheduling practices. Ability to communicate effectively with clinical affiliates, faculty, students, and administrative staff. Ability to meet physical examination, immunization, and other onboarding requirements established by clinical affiliates. Preferred Qualifications Experience coordinating clinical placements and faculty/student assignments in a practical nursing or other nursing education program. Experience with accreditation, self-study, and regulatory documentation in a postsecondary nursing program.
