Assists in the preparation of personnel agendas for board meetings. Performs data entry of all new hires and personnel changes into HR management system and communicates with various department members and payroll. Prepares offer letters and board appointments letters. Relieves administrator of duties that do not require their personal attention. Serves as the primary point of contact for the Human Resources department, fielding all internal and external inquiries to provide immediate assistance or strategically route callers to the appropriate subject matter expert. Serves as a dedicated HR resource and partner to all center-level staff, working collaboratively to provide guidance, clarity, and support regarding personnel workflows and district-wide practices. Make appointments and schedules meetings for administrators as directed. Opens, sorts and reads incoming mail and email and independently prepares replies to routine correspondence. Maintains files of both general and confidential information pertinent to the activities of the office. Organizes and coordinates the special activities for Human Resources i.e. HR Drop- In sessions, New Hire Check-In sessions, and tenure and years of service celebration. QUALIFICATIONS: Graduation from high school or possession of a high school equivalency diploma and five (5) years of work experience in an office setting that consisted of using software to maintain calendars, schedule meetings, make travel arrangements, draft and create correspondence, presentations, emails and enter and maintain records in databases in support of a higher level administrator or a department or unit head. SUBSTITUTION: Satisfactory completion of 30 college credits* may be substituted on a year-for-year basis for up to four (4) years of the work experience described. *SPECIAL NOTE: Education beyond the secondary level must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education. SPECIAL REQUIREMENT FOR APPOINTMENT IN SCHOOL DISTRICTS: In accordance with the Safe Schools Against Violence in Education (SAVE) legislation, Chapter 180 of the Laws of 2000, and by the Regulations of the Commissioner of Education, candidates for appointment in school districts must obtain clearance for employment from the State Education Department prior to employment based upon a fingerprint and criminal history background check. Candidates must meet the minimum qualifications for this position. This is a HELPS eligible title.
