Sauquoit Valley High School is seeking a highly organized, compassionate, and skilled individual to join our front office team as a High School Office Specialist. This role is the cornerstone of our school's daily operations and the first point of contact for our students, parents, and community. The ideal candidate will be a professional, welcoming presence who excels at managing administrative tasks with precision and maintains a positive, supportive environment. Core responsibilities include:Stellar Organization & Administration: Efficiently handle, sort, and distribute a high volume of internal and external correspondence (email, phone, and physical mail).Create, organize, and maintain accurate, confidential student and school records, adhering strictly to privacy policies and protocols.Oversee general office operations, including managing inventory of supplies, coordinating mailings, and ensuring office equipment (copiers, printers, etc.) is functional.Assist with complex scheduling tasks, including coordinating meetings and conferences, meeting room reservations, and managing the school's central calendar.Process all school-related ordering and procurement of supplies and materials.Provide detailed budget support to the administrator, including tracking expenditures and assisting with financial reports.Manage all aspects of extracurricular bank deposits and transactions, ensuring accurate record-keeping and compliance with financial procedures.Support the effective and efficient running of daily administrative operations and school-wide procedures.Exceptional Communication Professionally and warmly answer and direct all incoming phone calls and greet visitors to the main office.Compose, format, and edit professional documents, announcements, letters, and emails for mass distribution to staff, parents, and the community.Proactively manage inquiries, ensuring all questions are addressed or routed to the correct staff member in a timely and professional manner.Kind & Compassionate Interactions (Customer Service)Interact with students, staff, families, and the school community in a kind, patient, and supportive manner, assisting with passes, late arrivals, early dismissals, and general inquiries.Serve as a positive and empathetic ambassador for the school, providing a welcoming atmosphere for all visitors and creating a sense of belonging.Handle sensitive and confidential information with the highest level of discretion, tact, and professionalism.Required QualificationsHigh School Diploma or equivalent.Minimum of two (2) years of successful experience in a high-volume office, administrative, or customer service role. Experience in a school environment is a plus.Demonstrated proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar).Proven ability to multi-task, prioritize, and manage time effectively with excellent attention to detail.Please apply online via olasjobs.org.
