Our Mission: To prepare a diverse population of students to become the highly educated and professional nursing workforce of the futureYour Mission: To manage and improve all business functions, including managing processes, purchasing, accounting, human resources, inventory, and IT.GENERAL RESPONSIBILITY: The Business Manager is responsible for managing and improving all business functions, including managing processes, purchasing, accounting, human resources, inventory, and IT. The Business Manager is a support to the school site’s leadership team. The Business Manager is responsible for reviewing the financial implications of the decision-making process.SPECIFIC RESPONSIBILITIES: Financial: Accurately projects financial implications for the current budget and the 5-year projections; Maintains the accounting system to accurately reflect all financial transactions; Provides AFMs timely for bimonthly payroll information for school site personnel, including information on hourly employees, substitutes and independent contractors; Maintains files on all vendor services, including, but not limited to copiers, postage, food service, custodial service, insurance providers, phone system, security, and cell phones; Verifies and distributes payroll; Processes reimbursements including 403(b) for school staff and sends to bill.com for payments; Reviews AP invoices for accuracy, compares invoices to approved purchase order and forwards approved invoices to bill.com in a timely manner. Processes purchase orders; Forecasts supply usage, remaining within budget line items. Works with NursesMC™ Network of Schools to create school specific budgets for future fiscal year; Collects all receipts as they come in, preparing all deposits to be given to the Executive Director, including District billing receipts; Manages and reconciles student activity funds; Manages and reconciles petty cash accounts (if any); Approves office supply expenditures as it relates to the budget; Collects reports from PowerSchool regarding currently enrolled students for each billing cycle; Ensures accurate billing information to be entered into the accounting system for each billing cycle; Ensures POR records are up-to-date for billing cycles; Completes and submits billing for special education students.Vendor Management: Manages relationships and oversees the work of all vendors including janitorial, facilities, grounds, maintenance, copy machines/fax machines, IT, insurance providers, transportation, and food service; Ongoing review of all vendor/management agreements/contracts to ensure accuracy of contents as compared to the scope of work; Manages day-to-day student transportation and busing services. Works with CDTA bus passes, manages inventory of the assets and coordinates with Districts; Schedules buses for field trips and athletic events as necessary; Assists in the management of the school's in-house food service program and ensures all records, cash receipts, disbursements, and reimbursement reports are properly managed and maintained; Ensures that the school site is in full compliance with all health and safety standards as required (local, state and federal); Mitigates risk management by ensuring compliance, reporting and maintaining files of all risk-related incidents at the site. Reports any/all injuries to the Workers Compensation carrier; Assists in moving materials and/or equipment from one location to another (room to room).Facilities: Coordinates personnel and/or services for all facility-related matters including maintenance, rubbish collection, security services, fire alarm maintenance, emergency generator maintenance, elevator maintenance, pest control, and office machine rentals/leases; Ensures procedures are in place for preventative maintenance program, asbestos management plan, OSHA compliance plan, building evacuation plan, and local, state and federally-mandated programs; Replenishes and distributes materials and supplies as necessary. Human Resources: Ensures all mandated federal, state and local employment laws are posted and maintained; Works with the Benefit Broker to enroll/terminate benefits with all carriers; Maintains HRIS system ensuring valid certification and licenses of employees; Maintains on-site personnel files; Manages and tracks leave management (leaves of absence, FMLA), ensuring adherence to federal, state and local regulations. Utilizes the HRIS/Payroll software to track this information; Facilitates the interview process and presents offers of employment to eligible candidates; Facilitates the completion of all new hire and separated employee paperwork and processes this paperwork to ensure payment for services is in place or payment process is ceased due to separation of employment.Payroll: Processes payroll on the appropriate payroll cycle, ensuring that all payroll documentation is reported accurately based on the employee’s status. Manages and maintains all aspects of the Payroll and HRIS system; Facilitates all payroll change requests (addition/termination of employees, W-4, direct deposits, salary/wage adjustments, benefit contributions, QLEs); Maintains accurate records and reconciles substitute teacher program expenses with teacher time off; Tracks employee attendance and produces reports of such; Manages benefit enrollment, termination, and invoice reconciliation for all employees; Reconciles bills for benefits, ensuring enrollment/termination for each carrier; Produces required reports from the Payroll/HRIS system.Materials Management: Establishes and implements site requisition and purchasing procedures; Ensures that the receipt of all materials is reported to the receiving department and that all materials are placed in a secure location until the distribution process occurs; Ensures that all shipments contain the items and quantities requested based on the purchase order or invoice.Inventory Management: Collaborates with appropriate school-based staff (Executive Director, Director of Teaching and Learning, Administrative Assistants, and facility personnel) to maintain an accurate inventory of technology; Maintains an accurate inventory and record of distribution of all site curriculum; Ensures that an accurate inventory of all technical equipment and materials is maintained by the technology staff and reported in the business office; Ensures that all site property is held in secure locations and distributed using reasonable controls.Other: Provides financial reports to the Board of Directors; Consistently updates the Executive Director regarding the school’s financial status and security; Establishes and maintains a database on federal, state and chartering authority laws, rules and regulations, pertaining to school personnel hiring, compensation, benefits, revenue/grants compliance, reporting requirements, etc. that impact the school operations and finances. QUALIFICATIONS: Bachelor’s degree in Finance, Accounting or Business Management or related field- Master's degree preferred; A minimum of two (2) years experience working in a New York school setting, preferably in a charter school; Experience in budget management, accounting, vendor management, personnel administration, facilities management and inventory management; Meticulous attention to data and reporting to drive financial decision making; Strong background in Microsoft Office applications, Microsoft Windows environment, QuickBooks, and bill.com as well as other pertinent accounting software products; Strong background in ADP payroll and HRIS experience; Previous human resources and payroll experience highly preferred; Experience with PowerSchool, specifically to extract data for billing and reporting purposes; Criminal background clearance (fingerprinting) required; Proof of U.S. Citizenship, residency or work visa required; Self-starter who is detail oriented; Must be team oriented; Must have excellent interpersonal skills when working with students, teachers, colleagues, parents, administrators and headquarters; Must have excellent written and oral communication skills; Must be highly organized and manage time and resources effectively, prioritizing efforts according to organizational goals.
