Secretary to Chief School Officer, ProbationaryStarting July 1, 2023Central AdministrationThere is a vacancy for a confidential secretarial support person in the Central Administration Office, performing executive secretarial work for the Superintendent of Schools. This position follows Civil Service guidelines in the Exempt Class job title of Secretary to Chief School Officer.Responsibilities:Receives calls and callers, ascertaining their business and answering their questions or referring them to the proper person;Uses computer applications such as spreadsheets, word processing, calendar, e-mail and database software in performing assignments at the district and school levels, as assigned by the Chief School Officer;Takes minutes of staff meetings, conferences and hearings and transcribes same;Arranges appointments and meetings and prepares materials for them;Assists in the preparation of budgets, resolutions and reports;Relays directives to subordinate personnel and checks upon their completion;Reads and sorts incoming mail and answers it independently or routes it with background material as necessary;Handles assigned correspondence independently;Performs a variety of complex clerical tasks, and administrative support tasks;Supervises and assists with the maintenance of both general and confidential files;Transcribes important and confidential dictation;Supervises the work of clerical personnel assigned to administrative offices.All other duties as assigned by the Chief School Officer.Requirements:The qualified candidate will be an accomplished, efficient, independently motivated problem solver who is collaborative, forward thinking, resourceful, and demonstrates initiative;Ability to promote and maintain effective public relations. This position interfaces directly with the public, school administration, Board of Education members, teachers, and other school personnel to promote and maintain effective public relations. It requires the ability to work effectively with people – in person and on the telephone – and to work well under pressure. Candidates must be responsible, dependable and resourceful, with good judgment, neat personal appearance, possess a strong work ethic, be a self-starter, and be able to maintain confidentiality. Thorough knowledge of the responsibilities of an executive secretary. The position requires someone who can handle administrative details independently and multiple simultaneous tasks expediently and with accuracy. Comprehensive knowledge of the English language, grammar and mechanics;Ability to understand and carry out complex oral and written directions; Proficient in all Google Suite applications and all Microsoft Office applications. Competency, including speed and accuracy, in the use of office technology, and knowledge of eSchool, state data reporting applications, Other assignments and responsibilities associated with and not limited to the Central Administration Building.Graduation from high school and either (a) completion of a two year post high school business or secretarial course and four years of office/clerical experience which involved the use of computers to maintain records or produce correspondence or spreadsheets; or (b) six years of office/clerical experience which involved the use of computers to maintain records or produce correspondence or spreadsheets; or (c) a satisfactory equivalent combination of the foregoing training and experience. Bachelor’s degree or Master’s degree preferred.NYSED Fingerprint Clearance*Employment Terms:12 month, probationary position8:00AM - 4:00PM, subject to change based upon Chief School Officer’s scheduleSalary is competitive and dependent upon experience.
