There is an immediate vacancy for a district wide Registrar following Civil Service guidelines in the job title of School District Registrar. The position is responsible for enrolling all new students in the district, verifying residency as well as for providing clerical support to district administration as required.QUALIFICATIONS:Outstanding interpersonal skills: This position interfaces directly with students, teachers, other school personnel, parents and the general public. It requires the ability to deal effectively with people – in person and on the telephone – and to work well under pressure.Excellent organizational skills: The position requires someone who can handle multiple simultaneous tasks expediently and with accuracy. Attention to details is eminent.Superior technical skills: A high degree of competence, combining speed and accuracy, in the use of office technology, particularly, Google Suite applications, Microsoft applications, and E-School; thorough knowledge of the responsibilities of an executive level secretary; clerical aptitude, accuracy, resourcefulness and initiative are required; ability to understand and carry out complex oral and written directions and ability to compose and edit routine letters and memoranda.DUTIES AND RESPONSIBILITIES:Conducts registration of new students to the District during scheduled times which may include nights and/or Saturdays;Provides information to families and responds to inquiries regarding enrollment in the District;Prepares information and enrollment packets and refers inquiries to the appropriate personnel/school building(s);Receives and reviews enrollment information and verifies residency, student medical records, birth certificates, transcripts; etc.;Enters all enrollment information into the District’s database, maintains copies and files and refers materials to appropriate staff, i.e.; medical records to the nurse, IEPs to Student Services/Guidance, etc., Creates files of renters within the District and verifies renewal of leases to ensure continued enrollment in the District;Refers unresolved issues of residency to District Administration and/or investigators, as directed; Responds to all communications: telephone, voice mail, and email concerning registrar information;Performs all office/clerical/administrative tasks for a District administrator, including correspondence, preparing reports and minutes of meetings, scheduling appointments and maintaining files and other material essential for use by the administrator; Uses computer applications such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments. May maintain the calendar of appointments for the District administrator, ensuring the administrator is appraised of all appointments and changes as well as matters requiring immediate attention;May create files of renters within the District and verifies renewal of leases to ensure continued enrollment in the District; May produce various reports including AT-6 tracking daily attendance, in the District and within the various schools in the District.PREREQUISITES:Graduation from high school or possession of a high school equivalency diploma and either: (a) five (5) years of work experience which must have included the operation of automated office systems to generate reports, correspondence, memos, or in the maintenance of databases; or (b) an Associate’s Degree* in Office Technology, Secretarial Sciences or closely related field and three (3) years of experience as in (a) above; or (c) a Bachelor’s Degree* and one (1) year of experience as in (as) above. *SPECIAL NOTE: Education beyond the secondary level must be from an institution recognized or accredited by the Board of Regents of the New York State Education Department as a postsecondary, degree-granting institution.EMPLOYMENT TERMS:Type: 12 month probationary position if eligible for transfer or reachable on the corresponding eligible list or provisional, which requires successfully passing the required Civil Service exam for the job title.Hours: 8:00 a.m. – 4:00 p.m. The clerical workweek is 35 hours, 7 hours per day.Salary and Benefits: Depending upon experience, salary range begins at $47,121. Benefits are covered by the CSEA contract.Fingerprint Clearance: SAVE Law: Effective July 1, 2001, Education Law §§305(30), 3004-b, 3004-c and 3035, as amended by Chapter 180 of the Laws of 2000, and Part 87 of the Commissioner's Regulations require the Commissioner of Education to request a fingerprint-supported criminal history background check for applicants for certification as well as for prospective employees of school districts, charter schools and boards of cooperative educational services (BOCES). The Commissioner of Education carries out these responsibilities through the New York State Education Department's Office of School Personnel Review and Accountability (OSPRAAPPLICATION PROCESSApplicants must be eligible for appointment from a currently valid Civil Service list or must achieve a qualifying score on the next administration of the appropriate Civil Service test.
