Administrative Assistant to the SuperintendentReporting to: SuperintendentLocation: Yonkers, New YorkBackground The mission of the Charter School of Educational Excellence (“CSEE”) is to produce students who meet or exceed all New York State learning standards. CSEE will do this by creating a challenging learning environment with high expectations for every child with an emphasis on the basic subject areas of English-language arts, mathematics, social studies, and science. The school will employ standards based and research proven curriculum, implement best educational practices, use a variety of assessments to measure on-going student progress in skills and content learning, and support teachers with professional development activities that are aligned to the instructional program. Position OverviewThis is a 12-month position that requires a close, continuing relationship with the Superintendent of the School and provides support in all operational aspects of the office. This position plays a key role in managing the written and oral communications among the Superintendent’s Office, the elementary, middle and high school. The Administrative Assistant works closely with staff in other areas of the Central Office, including the offices of the Principals, Student Data, Business Office, and Parent Coordinator. The incumbent is expected to alert the Superintendent on matters requiring their attention, and anticipate, undertake and accomplish varied tasks with a minimum supervision, exercising a considerable degree of independent judgment with information kept confidential as appropriate. This position job description is not intended to be a complete list of all responsibilities, duties or skills required for the job and is subject to review and change at any time, with or without notice, in accordance with the needs of the Superintendent’s office.Responsibilities & duties (including, but not limited to)• Maintain the Superintendent’s calendar including the scheduling and rescheduling of meetings, calls and conferences • Compose business letters, emails, documents, and reports as needed• Review and edit written material for accuracy of spelling, grammar, content and format. Ensure all written communications from the Superintendent’s office are of the highest quality • Maintain and update the School’s web pages, and school social media, relative to the Superintendent’s office • Attend team meetings and board meetings, takes meeting notes and follow up as needed• Prepare the monthly School Calendar of Activities and Superintendent Newsletter. Verify and keep the information up to date within the document• Maintain effective electronic and paper filing system that ensures accurate and timely retrieval of all relevant information related to the Superintendent Office such as charter documents, school policies and practices, laws and regulations, contracts and reports• Maintains multiple internal databases, that require a proficient to expert level of experience with Microsoft Office and Google Docs.• Research educational topics and trends as needed to support the development of documents and projects• Handles correspondence for the Superintendent • Assist with events such as an open house and teacher/parent nights, professional development days, school activities, and other Superintendent-involved activities• Perform other duties and assignments as requested • Working knowledge of specific NYSED portals such as Grants Gateway, G5, G6, SAM.gov• Working knowledge of PowerSchoolWork Experience & SkillsBachelor’s degree and two or more years of school administrative experience preferredBilingual, English and Spanish with verbal and written proficiency in Spanish is a MUSTMust have strong organizational and communication skills, verbal and written Ability to work with parents, students, faculty, support staff, as well as school community groups Extremely competent in computer programs such as Microsoft Office, Power point, Google Docs, Zoom and GmailAbility to prioritize work based on the Superintendent’s Office needsWorking knowledge of school systems: Powerschool and Pick a PatrolAbility to handle stressful situation with tact and composureAbility to handle large volumes of work and a variety of responsibilities associated with running of a busy office with efficiency and accuracyAbility to multitask in a fast-paced, supportive environment that nurtures student growthAbility to occasionally lift and/or move up to 25 poundsAbility to sit at a desk for several hours a day as need, and or, continued physical movements such as reaching, bending and twisting throughout the dayScheduleThis is an at-will employment. Current schedule is 40 hours per week for 52 weeks per year, generally 7:00 4:00 p.m. daily, including hour unpaid lunch.
