BRENTWOOD UNION FREE SCHOOL DISTRICT 52 THIRD AVENUE BRENTWOOD, NEW YORK 11717 (631) 434-2331 POSITION: Senior Office Assistant Spanish Speaking (Contingent) (Provisional), 12 Month Human Resources Department CANDIDATES MUST MEET THE CIVIL SERVICE MINIMUM QUALIFICATIONS AND TAKE THE CIVIL SERVICE EXAM. The primary duties and responsibilities are as follows: - Processes employment applications. - Creates and maintains personnel files for Substitute Teachers, Call In Office Assistants and Student Workers. - Tracks certifications of Substitute Teachers. - Verifies, processes and distributes payroll notifications for above personnel. - Responsible for posting/recruiting Substitute Teachers on OLAS (Online Application System) and call in clericals on appropriate recruitment sites. - Prepares reports as needed (i.e. Vacancies, Retirements, Evaluations, Reasonable Assurance letters) and/or requested by the Administrative Assistant or School Personnel Officer. - Registers new employees with NYSTRS (New York State Teacher’s Retirement System) and NYSLRS (New York State Local Retirement System) - Calculates and records salary increases and sends out letters as required. Maintains an up-to-date master spreadsheet with employee personnel and salary data. - Responsible for entering all data into NVision system for above personnel and coordinating with Payroll. - Enter new employees into Absence Management system and updates as needed. - Works closely with Absence Management Navigator and troubleshoots where needed. - The incumbent will be the district’s liaison with the BOCES Absence Management administrator, and provide guidance and troubleshooting of issues related to that system (use of the system, login credentials, etc.) - Gathers data monthly for Human Resources Board Reports. Send out letters as required. - Answers routine questions in response to telephone inquiries in both English and Spanish. - Fields all Spanish callers and applicants to the proper department. - Translates written documents into Spanish as needed. - Attends job fairs for the purpose of recruiting employees (Instructional and Non-Instructional) for the district. - Incumbent of this position is expected to make decisions on how to handle potential issues with substitute placement, when to reach out to administrators, principals, presenters, etc., including when to escalate an issue to Nicole Valente, School Personnel Officer. - Completes general office work and related duties as required.
