Principal's Secretary- Office Specialist IThe Waterville Central School District is seeking a candidate for a full-time, 12 month position in the Junior Senior High School office. Please see the following job description for details:PRIMARY FUNCTION:Under general supervision of the High School Principal, the Secretary provides support to the High School Principal and Assistant Principal by performing a wide variety of administrative secretarial and clerical duties requiring a high level or organization and frequent contact with the public, administration, students, faculty, and staff.ESSENTIAL JOB FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:Provide clerical and administrative support to the principal, assistant principal; and support teaching staff as policy directsEnsure that the school operates in a consistently organized manner every dayAct as liaison between the community, the school and other internal and external stakeholdersMaintain and oversee all recordkeeping for students and staffAct as first point-of-contact to callers, relay messages, and transfer calls as appropriateArrange conferences, meetings, and travel reservations for administrative personnel both using school resources and out-of-school arrangementsComplete forms in accordance with school and district procedures, following education legislationCompose, type, and distribute staff and department meeting notes, routine correspondenceGenerate and distribute reports as appropriateHandle visitor inquiries, and direct them to the appropriate person according to their needsLocate and attach appropriate files to incoming correspondence requiring replies.Open, read, route, and distribute incoming mail and other material and prepare answers to routine lettersSet up and maintain paper and electronic filing systems for records, correspondence and other materialCollect and disburse funds from cash accounts; keep accurate records of collections and disbursementsRecord attendance and absences; make phone calls as appropriateOrder, track and dispense suppliesReview work done by others ensure that school formatting and content policies are followed; revise as necessaryMINIMUM QUALIFICATIONS – TRAINING, EDUCATION AND EXPERIENCE:Ability to sit for an Office Specialist I civil service exam.KNOWLEDGE AND ABILITIESGoogle, Student Information System (School Tools), Frontline, Clear Track, Modern Office Practices and Procedures, Other Office EquipmentABILITY TO:Plan, organize, and coordinate clerical operations requiring effective accountabilities and accurate controls working independently with little or no direction.Interpret, implement, and maintain current knowledge of applicable laws, codes, policies, procedures and District regulations governing work scope.Maintain current knowledge of new developments related to work scope.Analyze situations accurately and adopt effective courses of action.Manage competing priorities and time.Establish and maintain effective working relationships among diverse groups of students, parents, and staff.Successfully interact with administration, teachers, staff, parents, students, and partner agencies.Compile statistical data accurately.Prepare and maintain accurate records and reports.Maintain accurate and confidential records.Complete work as directed despite frequent interruptions.Exhibit professional demeanor while performing job duties.WORKING CONDITIONS:Office environment; fast-paced work; constant interruptionsCompetitive Benefits Package
