Confidential Secretary to the Superintendent/ District Clerk12 Month position, 8 hours/day DESCRIPTION OF DUTIES: Under the direct supervision of the Superintendent of Schools, the Confidential Secretary will assist with general office management for the District Office. The Confidential Secretary will need to maintain confidentiality, use judgment and experience in making decisions in accordance with established policies and procedures; have clerical accuracy with the ability to handle routine administrative tasks independently, good communication and people skills, and the ability to establish and maintain positive relationships with all members of the school community. Responsibilities will include (illustrative only):Managing the Superintendent’s calendar, scheduling appointments, and coordinating meetings, ensuring efficient time management.Processing all Superintendent HearingsPreparing correspondence, reports, and presentations with a high level of accuracy and attention to detail.Serving as a liaison between the Superintendent and internal/external stakeholders, demonstrating professionalism and confidentiality.Organizing and maintaining confidential files and records related to seniority and tenure.Assisting in the planning and execution of district-wide and administrative events.Conducting research, compiling data, and preparing reports as requested by the Superintendent.Handling incoming communications, including emails and phone calls, with tact and diplomacy.Performing all other duties as assigned.The Confidential Secretary will also act as the District Clerk, reporting to the Board President, ensuring legally compliant board meetings, as well as supporting the smooth functioning of the Board of Education. The District Clerk performs a variety of clerical duties in connection with the business management of a school district including preparing meeting agendas and minutes and handling school elections and votes; does related work as required.QUALIFICATIONS: 2-year college degree in office/business and at least 2 years secretarial experience preferably in a school district office/school setting. Experience with Microsoft suite preferred.
