Administrative Assistant to the Superintendent and District ClerkThe Valley Central School District is currently recruiting for an Administrative Assistant to the Superintendent / District Clerk. The selected individual would be a key administrative professional who supports the Superintendent of Schools and the Board of Education. This 12-month, dual-role position requires a high level of discretion, professionalism, and organizational and communication skills. The individual serves as the Superintendent’s confidential assistant, providing complex and independent administrative support, while also fulfilling the statutory duties of the District Clerk in accordance with New York State Education Law (Section 2121) and the Commissioner’s Regulations. Responsibilities:Administrative Assistant to the SuperintendentServe as the primary administrative liaison to the Superintendent, managing sensitive and confidential matters with professionalism and discretionCoordinate and maintain the Superintendent’s calendar, appointments, and meetingsWork closely with the Superintendent’s Cabinet (three Assistant Superintendents); prepare agendas, take follow-up actions, and track Cabinet businessAct as a resource on district policies and procedures; make procedural decisions as appropriateRepresent the Superintendent and the District in interactions with staff, parents, students, and the communityDraft, edit, and format correspondence, reports, presentations, and other written materialsManage incoming and outgoing communications including email and physical mailLead and support district-wide administrative support staff as neededAssist in organizing district events and meetings, including logistics and materials preparationMaintain confidentiality and handle sensitive information with integrityActs as the Records Access Officer Other duties as assignedDistrict Clerk to the Board of EducationRecord and maintain official minutes of all Board of Education, Audit Committee and district voter meetingsIssue notices for regular and special Board meetings in compliance with legal requirementsFacilitate communication between Board members, administration, and the publicManage Board member logistics, including travel arrangements and conference registrationsPrepare and distribute meeting agendas and supporting documentation in a timely mannerOversee the annual district meeting and election process, including legal notices and voter registrationMaintain official Board records and ensure timely filing of legal documentsSupport Board of Education budget processes, manage the annual budget vote and provide assistance with contractual documentationHandle correspondence on behalf of the Board and follow up on Board directives and inquiriesAttend all Board meetings and provide procedural supportCoordinate the Reorganizational Meeting and manage procedural matters until the President is sworn inSupport the Policy Committee and updating of policiesParticipate in ongoing professional development, including Board Clerk trainingOther duties as assigned by the SuperintendentMinimum Qualifications:5 years of relevant experienceHigh School diploma, Bachelor’s Degree or higher preferredKnowledge of automated office equipment and excellent word processing and secretarial skillsStrong analytical, communication, and human relations skillsCompensation: $90,000-$120,000 Commensurate with experience Tentative Start Date: On or around December 8, 2025 Applications will be collected until the position is filled.
