The successful candidate will assist with office operations, data management, communication, and customer service while ensuring efficient and professional support to students, families, staff, and administrators. This position requires strong technology skills, knowledge of special education office procedures, and the ability to manage multiple responsibilities while maintaining confidentiality and professionalism in a fast-paced educational environment. Job Description The Substitute Senior Office Assistant (Automated Systems) performs a variety of clerical, administrative, and office support duties utilizing computerized systems and office technology. Responsibilities may include maintaining records, processing documents, managing databases, preparing correspondence, scheduling appointments, and supporting daily school or district office operations. The successful candidate will demonstrate strong organizational and communication skills, proficiency with office software and automated systems, and the ability to work collaboratively with staff, students, families, and community agencies. Experience supporting the committee on Preschool Special Education (CPSE) and Section 504 processes is highly desirable. Job Responsibilities Provide clerical and administrative support to school and district administrators Support Special Education, CPSE, and Section 504 office operations and compliance procedures Assist with scheduling and preparation for CPSE, CSE, and Section 504 meetings Maintain confidential student records, files, and documentation related to special education and student services Utilize automated systems and office software to maintain records, databases, and files Prepare correspondence, reports, spreadsheets, forms, notices, and other documents Answer phones, greet visitors, and respond to inquiries in a professional and courteous manner Process data entry, attendance records, scheduling information, and other office documentation Assist with mail distribution, filing, copying, and general office organization Coordinate appointments, meetings, and calendars Communicate effectively with students, families, staff, and outside agencies Operate standard office equipment, including computers, printers, scanners, and copiers Assist with special projects and additional office duties as assigned Maintain a professional, organized, and welcoming office environment Qualifications Required Qualifications High school diploma or equivalent Experience performing clerical or administrative office work Proficiency in Microsoft Office Suite, Google Workspace, and automated office systems Strong organizational, multitasking, and time-management skills Excellent verbal and written communication skills Ability to maintain confidentiality and handle sensitive information appropriately Strong interpersonal skills and ability to work collaboratively with staff and the public Ability to work independently and manage multiple responsibilities efficiently Preferred Qualifications Prior experience in a school district or educational setting Experience supporting CPSE, CSE, and/or Section 504 processes Familiarity with special education office procedures and compliance documentation Experience with student information systems and school-based technology platforms Experience with data entry, scheduling, and record management systems Knowledge of general office procedures and customer service practices Bilingual proficiency preferred but not required Equal Employment Opportunity Statement Tuckahoe Union Free School District is an Equal Opportunity Employer and does not discriminate on the basis of race, color, religion, creed, national origin, citizenship status, age, disability, sex, sexual orientation, gender identity or expression, marital status, military status, genetic information, or any other characteristic protected by applicable law.
