Provides complex administrative and operational support to a Director and/or programmatic department of Springbrook and manages the daily operations of the Family Engagement Center. Duties include general clerical, receptionist, and project based work in addition to coordination of family visits for students while projecting a professional image through in-person and phone interaction.To protect the safety of the individuals we support and staff, Springbrook requires new employees to be current on all recommended vaccinations and boosters, including but not limited to: COVID-19. Principle Duties and Responsibilities:Assist management with daily operations including scheduling, time keeping, minute-taking, communications, and staff managementProvide administrative support by preparing and processing data input/output to Springbrook computer information systems.Facilitate overall department communication effectiveness by coordinating departmental, interdepartmental, and external communications.Facilitate efficient use of information technology in department by providing training and first-line support for computer systems as needed.Aid in successful special project completion by providing clerical support, research, and data accumulation as requested.Welcome and receive phone calls and individuals as the initial point of contact for both internal and external constituents.Plan and coordinate visits for families to stay in the Family Engagement Center and/or drop off/pick up children for off site visits including:Greet families upon arrival and provide positive guest experienceEnsure assigned rooms are prepared prior to check-in for lodgersProvide reasonable concierge services including promptly addressing guests’ requests, actively listening to and resolving complaints, recommending local tourist spots, including places to dine, shop and sight-seeLiaise with Supported Employment Coordinator to ensure housekeeping services through the provision of job sitesLiaise with Facilities staff for repairs, larger cleaning projects and set up and take down of the building for eventsFacilitate effective functioning of department by performing administrative, and other duties required within individual departments.Requires a comprehensive knowledge of the program assigned.Exercises discretion and independent judgement within understood policies.All other duties as required.Qualifications, Skills & Knowledge Requirements:Basic reading, writing, and arithmetic skills required. Associates degree required.Minimum of (2) year of experience working in an administrative support position.Duties require professional verbal and written communication skillsProficiency in or knowledge of using a variety of computer software and e-mail applications, especially Microsoft Excel, Outlook, and Word; have the aptitude to learn other computer software as necessary.Meet the requirements to drive Springbrook vehicles as required.
