GOAL/PURPOSE:The job of SANY District Project Coordinator is to provide assistance to the SANY district office management in the daily operation of the district as well as planning, implementing, directing and maintaining of district programs by providing a wide variety of complex and confidential administrative and secretarial support; analyzing requests and providing recommendations for action; and communicating information on behalf of the district and the Board of Trustees to its faculty/staff, community, and other public agencies.This position requires knowledge of district procedures and policies, the ability to assume responsibility, work effectively and independently under pressure and maintain confidentiality. It is expected that the Assistant to the SANY senior management devise methods to produce the anticipated results. The work requires a high degree of resourcefulness. This position serves as the lead secretarial manager of the SANY district office.ESSENTIAL FUNCTIONS, EXPECTATIONS, AND RESPONSIBILITIES:· Assist the senior management, as directed, in critical communication with the stakeholders, public, and media. Answer general questions, including those requiring research or technical knowledge. Initiate and/or draft, prepare, and distribute a variety of documents, including but not limited to letters, memos, e-mails, acknowledgements, notices to staff, forms, and reports. Review and summarize miscellaneous reports and documents.Communicate and handle incoming and outgoing electronic communications on behalf of the Superintendent and Board of Trustees. Assist in the preparation of board meetings, including materials for regular and special meetings, and board retreats. Records, reports, and correspondence includes the following duties: 1. Prepare and post official board agenda and records. 2. Record minutes of executive staff and board meetings as required. 3. Collect, organize, copy, and bind all materials for board meetings; distribute to board members. 4. Prepare all correspondence, memoranda, and reports for superintendent. 5. Compile information and prepare reports as needed. 6. Distribute board materials to administrators, principals, and media. 7. Compile information from other departments and respond to requests for public information in a timely manner. 8. Maintain physical and computerized files, including board minutes and closed session records. Perform the following grant application actions: 1. Conduct research to identify new public and private funding opportunities and program areas to match district priorities; analyze sources to determine possible funding for specific projects and programs. 2. Work with multiple departments in the district to identify funding gaps and needs that could be satisfied with grant funding. 3. Gather information from appropriate departments to ensure conceptual understanding of a program for which funding is sought. 4. Locate appropriate grants for ongoing, current, or future projects while working collaboratively with multiple departments and key leaders in the district. 5. Research, recommend and write proposals and funding applications as directed. 6. Write reports as required by local, state, and federal government, foundations, and other funding/granting agencies. 7. Maintain grant information in the appropriate database(s). Complies with all grant reporting deadlines as required by grant organizations. 8. Serve as liaison to all funding agencies or organizations; maintain contact with funding organization during review of submitted proposal or grant application to provide additional support. 9. Maintain timelines for proposals and report back to funding sources in an accurate and timely manner. 10. Monitor progress of funded proposals to ensure procedures are being followed. 11. Present grant findings and options to district leaders and department supervisors. 12. Ensure compliance with School Board policies and procedures regarding grants. Assist in maintaining current SANY district policies and procedures. Keep abreast of state policy and legislative issues. Distribute related information to staff as deemed appropriate.Prepare executive meetings w/ school deans and operations managers agenda and materials and follow up progress.Correspond with state regarding coordination and preparation of site visits, charter renewals, annual reports, etc.Conduct districtwide surveysAssist senior management with staff evaluationsAssist senior management in data analysisSupervise district office secretary. When necessary, answer phones and direct all incoming calls to appropriate party promptly and efficiently, receive incoming mail, forward with appropriate notations to the proper person for response, prepare outgoing mailMaintain official files and retrieval systems of the district officeWork closely with the senior management to coordinate and manage all work that flows through district office in an effective and efficient manner Exemplify the core beliefs of the district in all dealings with internal and external stakeholders Be passionate about working with children and families· Maintain regular attendance; adhere to district practice regarding attendance and leaves of absence.· Perform the above and other related duties consistent with the scope and intent of the position with strict confidentiality.· Perform related duties as assigned by the senior managementKNOWLEDGE, SKILLS AND ABILITIES REQUIRED:Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner Extensive knowledge of grammar, vocabulary and punctuation.Extensive knowledge of office practices and procedures.Ability to promote good relationships internally and with the public.Ability to communicate effectively both oral and written.Ability to exercise sound judgment in resolving problems.Ability to plan and organize work activities.Outstanding skills at using technology, communication software, etc.Ability to maintain strict confidentiality.Ability to work both independently and cooperatively, exercise judgment and creativity and willingness to work with others as a team.Ability to work effectively under pressure from the public, workload, and employees.Ability to work extended hours.QUALIFICATIONS:Five years of experience in an education environmentExperience in successfully creating and/or improving workflow processes Creative, innovative talents to continuously improve workflow and outputs Minimum bachelor’s degree
