Position Title: Secretary to the Superintendent of SchoolsClassification: Exempt - 12 Month Salary: Competitive Based on QualificationsImmediately Responsible to: Superintendent of Schools Job Summary or Functions:Saugerties Central School District is seeking a dynamic applicant that will act as a confidential secretary to the Superintendent of Schools. The individual will assist the Superintendent with various office tasks, including the creation of Board of Education agendas and supporting materials. The ability to ensure the efficient operation of the Superintendent’s Office including opening, preparing, and distributing all correspondence. Maintaining accurate records for the Superintendent is essential. The Secretary to the District Superintendent is a key liaison to the district stakeholders.Major Responsibilities and Duties:Performs highly responsible administrative support duties as the primary and confidential secretary to the Superintendent, to relieve the Superintendent of administrative and clerical detail; plans, organizes District Office activities and coordinates flow of communications and information; assures smooth and efficient office operations.Prepares and assures access of a variety of documents, files, and other paperwork for staff members and the public; Represents a positive image of the Superintendent and enhances public relations through constructive communication with a variety of agencies and members of the communityResearches and compiles information pertinent to a variety of programmatic and operational areas; Summarizes information in writing, tables, and graphs.Inputs a variety of data into an assigned computer system; establishes and maintains automated records, files, and databases; initiates queries, develops spreadsheets, manipulates data, and generates various computerized lists and reports as requested; assures accuracy of input and output data. Screen telephone callers and drop-in visitors, tactfully referring those individuals to the appropriate individuals in the chain of command.Maintain the Superintendent’s day calendar and schedules certain appointments and conferences without prior clearance; make necessary arrangements for meetings or conferences, including space, time and participants.Prepare replies to general requests and routine letters on varied matters for the Superintendent’s signature. Construct Agenda for Board of Education meetings.Collaborate with the District Clerk.Review all outgoing correspondence requiring the Superintendent’s signature for format, spelling, punctuation and grammar before submitting for signature.Review incoming mail for action required of the Superintendent; retrieve appropriate background information to be attached to the correspondence or other materials; note details pertinent to the Superintendent’s calendar and future attention. Collect data for and direct preparation of informal and formal dockets and packets for meetings, including Board of Trustee meetings.Handle arrangements for the Superintendent’s travel.Comply with district policies, as well as state and federal laws and regulations.Maintain confidentiality in the conduct of district business.Oversee the awarding of Salary Credit to Staff.Act as a secretary to the Policy Committee and other committees as appropriate.Maintain and update Board of Education Policy and Administrative Regulations. Must be able to perform the essential functions of talking and interacting with stakeholders. Performs such additional duties as may be delegated by the Superintendent of Schools.Departmental budget preparation and control; submits requisitions for department.Freedom of Information Act Officer.Special Knowledge and Skills:Philosophy aligned with the Saugerties Central School District.Outstanding communication, problem-solving, human relations skills and decision-making capabilities.Broad knowledge of major educational business office administrative support secretarial functions.Comprehensive knowledge of the organization and functions of the school system, including established procedures and practices of the Office of the Superintendent. Thorough knowledge of local, state and federal regulations which govern school operations and ability to apply said knowledge to secretarial support level decisions.Ability to communicate effectively, both orally and in writing.Ability to interact with all stakeholders with tact, courtesy, and diplomacy.Ability to follow complex oral and written instruction.Ability to work well under pressure with constant deadlines and frequent interruptions.Ability to maintain strict confidentiality.Thorough knowledge of modern office technology.Ability to transcribe and type at a reasonable rate of speed.Acceptable Training and Experience:Required: Graduation from a New York State registered or regionally accredited two (2) year college with major work in the field of business or secretarial practice and two (2) years of responsible clerical experience including typing; -OR-Graduation from senior high school and four (4) years of progressively responsible clerical experience including typing;-OR-An equivalent combination of training and experience as indicated in A and B. Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable.Evaluation: The evaluation of the person filling this position is conducted by the Superintendent of Schools (or designee) and is based upon observations and conferences.
