This role is responsible for coordinating and overseeing payroll processing, maintaining accurate payroll records, and ensuring compliance with applicable laws and regulations. The position requires regular interaction with employees, administrators, and external agencies, and may include supervision of other staff. Key Responsibilities Coordinate, supervise, and assist in the preparation and processing of payroll for all employees Maintain comprehensive payroll records, including pay rates, deductions, and employment changes Process and verify updates related to appointments, salary adjustments, promotions, leaves, and terminations Review payroll deductions for accuracy (e.g., taxes, benefits, retirement, deferred compensation) Plan and manage payroll schedules to ensure timely and accurate processing Calculate payrolls, including special runs, salary adjustments, final paychecks, and net pay Prepare periodic and special reports related to payroll deductions and withholdings Respond to inquiries regarding payroll, benefits, retirement, and related procedures Handle external inquiries such as employment verifications, disability claims, workers’ compensation, and government requests Oversee or assist in processing civil service and/or benefits-related documentation Coordinate electronic payments Utilize payroll and office software systems (spreadsheets, word processing, email, databases) Provide guidance and direction to staff as needed Qualifications Must hold the civil service title “Senior Payroll Clerk” Experience in a school district is preferred. Knowledge, Skills & Abilities Thorough knowledge of payroll procedures and employee benefits administration Strong understanding of federal, state, and local payroll laws and regulations Working knowledge of Social Security and retirement systems Familiarity with office management practices Proficiency in computer applications, e.g., Excel, Word, payroll system (nVision) Strong mathematical and analytical skills with high attention to detail Excellent communication and interpersonal skills Strong organizational skills and ability to meet deadlines High level of integrity, discretion, and professionalism Additional Requirements Ability to pass a fingerprinting and background check in accordance with New York State SAVE legislation prior to employment April 10, 2026
