DUTIESThis position provides general administrative support services for the Superintendent of Schools. Duties vary widely from one position to another because the position is greatly dependent upon the particular style and needs of the administrator. Extensive contact with the public, school personnel, and students is involved. The position requires the exercise of independent judgment in relieving the superior of routine administrative details and in the application of prescribed methods and procedures. Work is performed under the general supervision of an administrator with considerable leeway allowed in the exercise of independent judgment. This position is exempt under the Civil Service Law. TYPICAL WORK ACTIVITIES: Typical work activities for incumbents in this title include those listed below in addition to those work activities performed by lower-level clerical support titles. They are indicative of the level and types of activities performed by incumbents in this title. They are not entirely all-inclusive and do not preclude a supervisor from assigning activities not listed, which could reasonably be expected to be performed by an employee in this title. 1. Preparing a wide variety of correspondence, compiling and analyzing data, preparing agendas, disseminating notices, writing reports, creating press-releases, maintaining compliance with regulatory and contractual obligations, filing, scheduling, responding to phone and email communication, registering new students, researching, managing personnel files, tracking expenditures, assisting in legal matters, and other responsibilities as assigned.2. Works in tandem with other departments and administrators to perform duties as necessary;3. Acts as a technical resource within the office for general administrative matters; receives and screens telephone calls from administrators, faculty, and the public;4. Establishes and maintains departmental files, including the upkeep of filing procedures, cross-reference filing, and maintains file logs; prepares retention schedules; oversees the purging of files;5. Handles the Superintendent’s confidential matters, including hiring, firing, discipline of staff, and all aspects of negotiations;6. Gathers and prepares confidential information for contract negotiations, including working with bargaining units to update their contracts;7. Works with federal and state regulations pertaining to school districts;8. Maintains time and attendance records for the Superintendent’s office;9. Maintains a yearly confidential directory and any other information pertinent to the administrative team;10. May arrange workshops, conferences and travel;11. Prepares the Board of Education meeting agenda, to include being an administrator on BoardDocs and navigating all incoming material for committee meetings and board meetings;12. Maintains the district policy manual and compiles information for all policy committee meetings;13. Handles all incoming subpoena requests for records and works with buildings to comply with requests;14. Enters all purchase orders for the Superintendent’s office and maintains separate budget line items for the Superintendent.15. Uses computer applications such as spreadsheets, word processing, calendar, email, website, database software, voting software, and board packet software, and serves as administrator for technology as needed;16. Manage subscriptions, calendars, and conferences for Superintendent and Board of Education;17. Must be able to prioritize projects, meet deadlines, be confidential, trustworthy, and possess exceptional judgment;18. Must be able to anticipate needs, potential hazards, and be part of the incident command response team;19. Prepare media releases for Superintendent and Board of Education as needed;20. Responsible for creating yearly school calendar, tracking snow days, and working with the administrative team when there are calendar changes;21. Perform all duties of District Clerk as specified in NYS Education Law section 2121;22. Must be willing to work hours beyond the typical work day in order to complete tasks as needed;23. Work with Superintendent, administrators, and school attorney on all aspects of Superintendent Hearings and Impartial Hearings;24. All other duties as assigned by the Superintendent of Schools. FULL PERFORMANCE KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of software packages for word processing, spreadsheets and database management to produce a variety of reports and documents, and to maintain district information;Knowledge of composition, grammar, spelling, punctuation and required formats sufficient to develop correspondence and reports or correct such errors in the correspondence and reports of others;Knowledge of office practices necessary to obtain a full range office support services such as printing, maintenance and supply services efficiently and cost-effectively;Knowledge of computational skills to monitor unit activity, track budget accounts and oversee the purchase of supplies and equipment;Skill in operating office equipment to produce work accurately and efficiently;Ability to schedule meetings involving numerous people with conflicting schedules; coordinate agendas, take minutes and prepare summary notes for meetings;Ability to speak knowledgeably and with authority about administrative functions of the office or department;Ability to understand, remember, and interpret numerous laws, rules, and regulations pertinent to the activities of the school district;Ability to maintain confidentiality and exercise discretion in regard to school district matters;Ability to gather, compile and evaluate information and records, prepare reports and make recommendations;Personal characteristics necessary to perform the duties of the position;Physical condition commensurate with the demands of the position.Salary commensurate with experience, ranging from $75,000 - $90,000. MINIMUM QUALIFICATIONS: Graduation from high school or possession of a high school equivalency diploma AND: EITHER: (A) Bachelor’s degree preferred.
