The Pleasantville Union Free School District is seeking candidates for the position of Secretary to the Superintendent of Schools/District Clerk. This is a full time 12-month position which includes a highly competitive salary range ($100,000 - $120,000 based on experience) and comprehensive benefits package. This position operates under the general supervision of the Superintendent and involves working within specific District policies and objectives to be a trusted partner in ensuring the smooth administrative functioning of the Superintendent's office. Typical Work Activities Secretary to the Superintendent • Maintain the Superintendent’s calendar, schedules appointments and meetings, and coordinates logistics with internal and external stakeholders, including creating virtual meetings and invitations to same. • Manage, process, and protect highly sensitive and confidential communications for the Superintendent's office, including processing Due Process complaints. • Make high-level decisions regarding the routing and prioritization of a large volume of correspondence from local, state, and federal agencies • Draft, format, and finalize official correspondence and documentation for the Superintendent’s signature • Serve as the initial point of contact for the Superintendent’s Office, thoughtfully analyzing and responding to inquiries from the community, district personnel, and neighboring school districts • Receive, document, and tactfully resolve constituency complaints, ensuring community concerns are handled with professionalism • Maintain secure, comprehensive, and organized files pertaining to personnel, budgets, and Board of Education proposals • Assist in the compilation and preparation of comprehensive reports, statistical data, and other assignments as directed by the Superintendent • Attend various staff and/or committee meetings to accurately record and distribute information • Support the Superintendent in the planning and execution of District events. District Clerk/Records Management Officer • Prepare for, and manage Annual Budget Vote & School Board Election - multi-faceted project • Register newly elected Board members for required training, ensure compliance within first year of service • Manage ongoing Board Policy updates, through cross contract with Erie 1 BOCES • Notice, in accordance with legal requirements, time and place of Board Meetings, Special Meetings, and of the Annual District Meeting • Work closely with Assistant Superintendent of Instructional Services, Human Resources Coordinator, CSE Secretary, Assistant Superintendent for Business and Business Manager to prepare Board Meeting agendas/addenda • Attend Board of Education Meetings and Executive Sessions, produce and ensure approval of, and recording of, Board Meeting minutes • Process FOIL requests within legal timeframes • Prepare and submit required public hearing notices/legal notices and announcements to Journal News • Ensure Board of Education is apprised of Village and Town actions, by enabling receipt of all agendas/correspondence/public hearing notices • Attend Westchester County Board of Elections Voting Machine training and District Clerk workshop Full Performance Knowledge, Skills, Abilities and Personal Characteristics • Proven expertise in modern office management practices, with a working knowledge of administrative principles and supervisory techniques • Strong written and verbal communication skills, including the ability to draft clear correspondence and reports from general instructions • Strong decision-making skills with the ability to exercise strong independent judgment in a fast-paced, high-stakes environment • A collaborative mindset with the proven ability to build successful relationships and communicate effectively with a broad spectrum of stakeholders, including staff, parents, students, Board members, elected officials, and community partners • High level of discretion and ability to maintain confidentiality • Highly organized and meticulous, with the ability to successfully execute complex oral and written directives • Strong understanding of current computer technology, including proficiency in office software, including Microsoft Office, BoardDocs, nVision or similar financial management system, eSchool Data or similar student data management system, BOLD Systems election management system Required Qualifications • High school diploma or possession of equivalency diploma • Five (5) or more years of relevant experience in a school district, government, public agency or professional office setting Preferred Qualifications • Bachelor’s degree • Experience as a School District Clerk
