The Niskayuna Central School District has an opening and is now accepting applications for an Executive Secretary I.ASSIGNMENT: Equity/Communications Department; 12 months per year; 37.5 hours per weekDISTINGUISHING FEATURES OF THE CLASS: This position involves responsibility for performing avariety of complex and confidential secretarial duties for a department head. An incumbent in this position isresponsible for typing letters, reports and other confidential materials, and relieving the department head ofadministrative details by arranging conferences and contacts. The incumbent may be responsible for utilizing amicro-computer, remote computer terminal or similar computer equipment in the performance of daily work-related tasks. The work involves frequent exercise of independent judgment in giving out information regardingdepartmental policies and practices and in planning the routine of an office. This class differs from that of otherclerical positions by virtue of broader project responsibilities. General supervision is received from thedepartment head with leeway allowed for the exercise of independent judgment in carrying out details of thework. General supervision may be exercised over a variety of clerical employees. The incumbent does relatedwork as required.TYPICAL WORK ACTIVITIES:• Screens telephone calls to the department head and responds to appropriate inquiries;• Relieves department head of office details by making appointments, receiving calls and referring themto the proper persons;• Answers requests for administrative information and prepares office reports;• Opens, reviews, sorts and distributes the mail in accordance with staff assignments;• Organizes and coordinates the administrative action in the department, including handling incomingcorrespondence and drafting responses, and researching background information;• Designs and maintains correspondence files;• Schedules meetings and maintains department head's calendar;• May operate word processing equipment in the performance of daily tasks;• May supervise and assign work to subordinate clerical employees;• Performs a variety of related duties as required.FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:Thorough knowledge of office terminology, procedures and equipment; thorough knowledge of businessarithmetic and English; good knowledge of the organization, functions, laws, policies and regulations of theagency; ability to handle routine office details independently, including composition of letters andmemorandum; ability to plan and supervise the work of others; ability to understand and carry out complex oraland written directions; ability to operate word processing equipment or a microcomputer; ability to interact in aprofessional manner with the public regarding various concerns; ability to establish effective workingrelationships with a variety of people at all levels of the organization; personal integrity necessary to maintainconfidentiality pertaining to office matters.MINIMUM QUALIFICATIONS:1. Graduation from a regionally accredited or New York State registered two year college or universitywith an Associate's Degree in Secretarial Science or a related field and two years of clerical experience,which shall have involved typing; OR2. Graduation from high school or possession of a high school equivalency diploma and four years ofclerical experience; OR3. Six years of clerical experience; OR4. An equivalent combination of training and experience as defined by the limits of (1), (2), and (3) above.NOTE: Selected applicants will be subject to a fingerprint supported criminal history background check in accordance with SAVE Legislation effective July 1, 2001.
