LOCATION: Superintendent's Office HOURS: Monday – Friday, 35 hours per week Position Overview: The Secretary to the Chief School Officer provides high-level administrative and confidential support to the Superintendent and serves as a key liaison among the Superintendent’s Office, the Board of Education, district administrators, and the community. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced executive office environment. Responsibilities: Provide confidential administrative support to the Superintendent, including calendar management, scheduling, correspondence, and preparation of materials for meetings and presentations. Keep Superintendent informed and advise, assist, and work cooperatively with all other administrators on school and district-related matters. Assist with development and provide information on outside agencies annual directories, e.g. annual Facts and Figures book, Putnam County, etc. Prepare reports and other documents supporting district operations and Board of Education business. Manage incoming correspondence and inquiries, ensuring timely and appropriate responses or referrals. Serve as a liaison among district administrators, staff, community members, and outside agencies. Support districtwide initiatives and events, including Superintendent Conference Days and preparation of the annual district calendar. Maintain and oversee confidential and general district records, ensuring compliance with records retention and management requirements. Coordinate the district’s records management and archival systems, including storage, preservation of historical records, and records disposal in accordance with established schedules. Maintain the district’s policy records and master policy database. Utilize office technology and software applications, including Google Workspace, Microsoft Office, and database systems, to support district operations. Assist District Clerk with various tasks including but not limited to FOIL requests. Perform additional duties and special projects as assigned by the Superintendent and Assistant Superintendents. Qualifications: Demonstrated experience supporting senior leadership in a professional or executive office environment. Strong organizational and problem-solving skills with the ability to manage multiple priorities and deadlines. Exceptional interpersonal and communication skills and the ability to interact effectively with staff, board members, and the public. Ability to exercise sound judgment, maintain confidentiality, and handle sensitive matters with discretion. Excellent written communication skills and strong command of grammar and mechanics. Ability to interpret and execute complex oral and written directions. Proficiency with Google Workspace and Microsoft Office applications; experience with school district systems such as eSchool and state reporting platforms preferred.
