The Highland Falls-Fort Montgomery Central School District is seeking candidates for an Executive Secretary to Assistant Superintendent position. This position involves responsibility for performing complex clerical operations requiring a high degree of discretion and judgment. Services are performed to relieve the Assistant Superintendent of Curriculum, Instruction and Technology from administrative details and clerical functions specific to the mission of the department. Responsibilities include planning and implementing the clerical routine for the office. Work is performed under general supervision and requires the exercise of considerable initiative and confidentiality in the performance of administrative and clerical responsibilities. Does related work as required.Typical Work Activities:Performs a variety of complex clerical tasks to relieve the Assistant Superintendent of Curriculum, Instruction and Technology of office and administrative detail;Types minutes, reports, grant applications, etc.;Composes and types letters requesting routine information and attends to other correspondence independently or with brief direction;Develops and maintains extensive and confidential filing systems including, but not limited to, grants, purchase orders, enrollment data;Schedules the use of school facilities, conference days, and professional development days;Researches and compiles data and prepares reports;Prepares materials such as charts and graphs and slides for presentations;Acts as a receptionist for the Assistant Superintendent for Curriculum, Instruction and Technology, screening calls, receiving visitors and scheduling appointments;Opens and screens mail and responds to routine inquiries;Arranges for all conference travel and seminar meetings;Responsible for the collection of all registration forms and materials for new students;Verifying residency, court, guardianship, foster care, and our military student's eligibility documents;Data entry in the student management system;Work closely with the McKinney-Vento liaison who identifies homeless students;Other data related responsibilities include, working with school counselors and principals to set up their school year configurations in the SMS such as marking periods, progress and reports cards and master schedules;Working with the MHRIC to ensure accurate data reporting and troubleshooting errors. Assisting teachers, staff and administrators with SchoolTool functions;Adding /tracking professional development offerings into the teacher's sign up system and creating memos; Creating purchase orders. The successful candidate for the position of Executive Secretary has/is:Completion of 60 credit hours at a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees and two (2) years of experience in clerical work involving stenography, keyboarding and supervision of subordinates; OR;Graduation from high school or possession of a high school equivalency diploma and four (4) years of experience as outlined in (A) above; ORAn equivalent combination of training and experience as defined by the limits of A and B above.NOTE: Keyboarding proficiency will be evaluated during the probation period. This is a provisional civil service position. The appointed candidate must take the appropriate civil service exam once offered.Candidates will also be required to provide New York State TEACH fingerprint clearance.Please submit a cover letter and resume for consideration.
