Six Months + Training Tentative Start Date Early April - Early May **This is a six-month leave-of-absence coverage position with the potential to transition into a full-time permanent role, contingent upon the incumbent not returning from leave** Superintendent’s Secretary/District Board Clerk Position Summary The Superintendent’s Secretary/ Board Clerk provides high-level administrative support to the Superintendent and serves as the official record keeper and governance support to the Board of Education. This position ensures efficient operation of the Superintendent’s office, compliance with applicable laws, and accurate documentation of Board actions. The role requires discretion, organizational excellence, and knowledge of school district governance procedures. Essential Duties and Responsibilities I. Executive Support to the Superintendent Manage Superintendent’s calendar, appointments, and travel arrangements Screen and respond to correspondence, phone calls, and emails Prepare reports, presentations, memos, and district communications Coordinate leadership team meetings and maintain meeting records Maintain confidential personnel and district records Track deadlines, compliance requirements, and special projects Serve as liaison between Superintendent and staff, board members, and community II. Board Clerk Responsibilities Prepare and distribute Board of Education agendas and meeting packets Post required public notices in accordance with state open meeting laws Attend all regular and special board meetings Record, prepare, and maintain official meeting minutes Maintain official records of board resolutions, policies, and actions Record and certify board votes Administer oaths of office to board members (if required by state law) Maintain board member term records and governance documents Respond to public records requests as required by law Knowledge, Skills, and Abilities Thorough knowledge of school district operations and governance Understanding of open meeting laws and public records requirements Exceptional organizational and time-management skills Strong written and verbal communication skills Ability to maintain strict confidentiality Proficiency in office software, board management systems, and digital recordkeeping Ability to manage multiple priorities and meet deadlines
