Position The Greenburgh Central School District is actively seeking a highly organized, meticulous, and professional Secretary to provide executive support to a high-level district administrator within a dynamic and diverse educational environment. The Secretary shall be responsible for executing confidential executive secretarial duties, overseeing office operations, coordinating schedules and communications, and supporting administrative functions to ensure the department's efficient operation. This pivotal role necessitates the exercise of independent judgment, robust organizational and communication proficiencies, and demonstrated expertise in computer applications for the preparation of correspondence, comprehensive reports, and official records. Furthermore, the position requires interacting with staff, students, families, and the general public in a consistently courteous and effective manner. This is a 12-month civil service position; duties and responsibilities are subject to change, and additional, related assignments may be required. Duties The responsibilities below outline the primary duties of the position. This list is not intended to be all-inclusive, and additional related duties may be assigned as needed: Perform high-level executive and confidential secretarial support functions for the Assistant Superintendent for Business. Ensure the effective management and continuity of the annual operational cycle of the Business Office. Prepare Board resolutions and coordinate the submission of Business Office recommendations to the District Clerk for inclusion on Board of Education agendas. Manage the annual renewal process for independent contractor agreements, including the review and enforcement of insurance compliance requirements. Assist in coordinating meetings and activities related to the development and preparation of the annual school district budget. Serve as System Administrator for the District’s financial management system. Provide administrative and operational support to Business Office staff and perform additional duties as assigned by the Assistant Superintendent for Business. Relieve the administrator of administrative and operational details not requiring direct executive attention. Serve as the primary point of contact for telephone and in-person inquiries, responding to questions and directing individuals to appropriate personnel as needed. Coordinate and maintain the administrator’s calendar, including scheduling appointments and meetings. Record meeting notes and prepare accurate minutes for meetings, hearings, and related proceedings as required. Receive, review, prioritize, and distribute incoming mail and electronic correspondence; independently draft responses to routine communications. Compile and organize information for the preparation of correspondence, reports, memoranda, presentations, and other official documents. Assist in the preparation and maintenance of budgets, personnel records, staff attendance reports, and related departmental documentation. Maintain and safeguard both general and confidential files and records pertaining to Business Office operations. Oversee the organization, maintenance, and retention of office records and documentation. May supervise and provide direction to clerical and administrative support staff. Utilize computer applications and business software, including spreadsheets, word processing, databases, email, and calendar management systems, to support office operations efficiently. Required Knowledge, Skills, Abilities & Attributes Thorough knowledge of the responsibilities of an executive secretary; Thorough knowledge of general business terminology, procedures and equipment; Thorough knowledge of business English, spelling and arithmetic; Good knowledge of the capabilities of automated systems equipment to produce various formats/documents such as correspondence, reports, tables, charts and file storage/retrieval; Ability to effectively use computer applications such as spreadsheets, word processing, calendar, e-mail and database software; Ability to manipulate a standard alphanumeric keyboard at a rate of not less than 35 words per minute; Ability to read, write, speak, understand and communicate in English sufficiently to perform the essential functions of the position; Ability to compose and edit routine letters and memoranda; Ability to understand and carry out complex oral and written directions; Ability to handle administrative details independently; Ability to deal with others effectively; Ability to compile data and prepare reports; accuracy; Resourcefulness; initiative. Qualifications Graduation from high school or possession of a high school equivalency diploma Five (5) years of work experience in an office setting that consisted of using software to maintain calendars, schedule meetings, make travel arrangements, draft and create correspondence, presentations, emails and enter and maintain records in databases in support of a higher-level administrator or a department or unit head. Satisfactory completion of 30 college credits. May be substituted on a year -for-year basis for up to four (4) years of the work experience described above. School business office experience strongly preferred; Knowledge of school district financial software (nVision or WinCap) required; Excellent communication, collaboration, and organizational skills; Demonstrated commitment to equity, inclusion, and culturally responsive practices; Bilingual/Multilingual strongly encouraged to apply. APPOINTMENT: Appointment to this position shall be made by the Board of Education upon the recommendation of the Superintendent, following a comprehensive review of the candidate’s training, experience, certifications, credentials, and demonstrated qualifications.
