Appointment Provisional (pending Civil Service examination)Salary$60,000 – $70,000 annually (commensurate with experience)Work ScheduleMonday – Friday8:00 a.m. – 4:00 p.m.40 hours per weekPosition DescriptionThe District seeks a detail-oriented Staff Assistant – Finance to support district-wide financial and personnel operations. This position assists with accounting functions, purchasing, payroll support, and Human Resources recordkeeping while ensuring compliance with district policy and Westchester County Civil Service requirements.Duties and ResponsibilitiesAssist in the collection, entry, tracking, and maintenance of district financial data and accounts.Receive, record, and track incoming payments; maintain organized financial records.Process bi-monthly check payments.Maintain district accounts and advise supervisors of required adjustments.Receive vendor invoices and prepare requisitions and purchase orders for payment.Enter requisitions into the district’s financial system (nVision); route for approval and monitor status.Assist staff with accurate completion of purchase requests.Obtain quotes or bids in accordance with district policy and purchasing thresholds.Ensure vendor compliance including contracts, insurance certificates, and W-9 forms.Maintain confidential financial and personnel records.Assist with preparation and coordination of employee attendance and time records.Collect and process new hire tax and benefit documentation and employee updates.Enter and maintain new and current employee data in the Human Resources module of nVision.Maintain personnel files in accordance with district procedures.Complete and submit all required Westchester County Civil Service documentation for new hires and personnel changes.Carry out and support district Human Resources policies and procedures.Respond to inquiries in person and by telephone in a professional manner.Receive requests for building repairs and supplies and initiate resolution through service calls or ordering.Minimum QualificationsHigh School Diploma required.Minimum of two (2) years of college with specialization in Business or a related field.Proficiency in Microsoft Office Suite, Adobe products, and nVision (or similar financial/HR systems).Strong organizational skills, attention to detail, and ability to maintain confidentiality.Effective written and verbal communication skills.Civil Service StatementApplicants who are not currently on the Westchester County Civil Service Canvass List for Staff Assistant – Finance may be appointed on a Provisional basis.
