This position serves as secondary administrative support within the Superintendent’s Office and assists with daily office operations, executive scheduling, correspondence, district communications, and administrative coordination while handling sensitive and confidential information related to district operations. Essential Duties and Responsibilities Provides confidential clerical and administrative support to the Superintendent of Schools and central office administration. Serves as secondary administrative support within the Superintendent’s Office and assists with office coverage and workflow coordination. Assists with preparation, drafting, editing, proofreading, and distribution of correspondence, memoranda, reports, presentations, agendas, and district documents. Assists with maintaining executive calendars, scheduling appointments, coordinating meetings, and organizing administrative activities. Receives, screens, and routes telephone calls, emails, visitors, and inquiries to appropriate personnel. Assists with coordinating meetings, appointments, conferences, and administrative activities for the Superintendent’s Office. Handles confidential information and exercises discretion regarding sensitive district matters and executive communications. Assists with district-wide communications, notices, mailings, and administrative correspondence. Maintains spreadsheets, reports, attendance records, purchase documentation, and other office-related documents as assigned. Assists with data entry, document preparation, copying, scanning, and routine office support functions. Utilizes Microsoft Office Suite, Google Workspace, and district software systems to support administrative operations. Coordinates meeting logistics, including scheduling, room preparation, attendance lists, and supporting materials. Assists administrators, staff, parents, community members, and outside agencies in a professional and courteous manner. Supports efficient daily office operations through organization, prioritization, and timely completion of assignments. Assists with special projects, district initiatives, and operational tasks as assigned by the Superintendent or designee. Performs related duties consistent with the scope and nature of the position. Minimum Qualifications High school diploma or equivalent required. Associate degree or higher preferred. Minimum of three (3) years of clerical, administrative support, executive secretarial, or office management experience preferred. Experience in a school district, municipal office, or public sector setting preferred. Knowledge, Skills, and Abilities Strong organizational, written, and verbal communication skills. Ability to maintain confidentiality and exercise discretion. Ability to manage multiple assignments and meet deadlines. Proficiency in Microsoft Office Suite, Google Workspace, and office technology. Ability to work independently and collaboratively in a professional office environment. Strong attention to detail and professionalism. Working Conditions Primarily performed in a professional office setting. Position involves routine desk-based and computer-based work.
