Secretary (School Districts), ProvisionalFull-Time, 12 month assignmentImmediate Vacancy There is an immediate vacancy for a full-time secretarial support person for the Facilities Department. This position follows Civil Service guidelines in the job title Secretary (School Districts). In order to be considered for appointment, candidates must either hold permanent status in the title or meet the requirements for a provisional appointment. A provisional appointment will be required to pass the next exam for the title and be reachable on the corresponding eligible list. Requirements:Outstanding interpersonal skills: This position interfaces directly with students, teachers, other school personnel, parents and the general public. It requires the ability to deal effectively with people – in person and on the telephone – and to work well under pressure. Candidates must be responsible and dependable, self-starters, with good judgment, possess a strong work ethic and be able to maintain confidentiality.Excellent organizational skills: The position requires someone who can handle multiple simultaneous tasks expediently and with accuracy. Attention to details is eminent.Superior technical skills: Competence, combining speed and accuracy, in the use of office technology, particularly, Google Suite, Microsoft Word, Excel, PowerPoint and E-School. Other assignments and responsibilities associated with and not limited to the Facilities Department.NYSED Fingerprint Clearance* Responsibilities:Provide clerical and office support services to the Facilities Department – including but not limited to: maintaining calendar, coordinating meetings, screening incoming telephone calls; use of the 2 way radio to communicate with staff regarding deliveries or to assist with facility needs; screen walk-ins, open, screen and route incoming mail to appropriate party and assist staff,with needs pertaining to district wide Facilities;Utilize automated systems (i.e. Microsoft Office Suite, Google Suite, and eSchool) to produce correspondence, forms, reports, and other departmental data;Set up and maintain automated and manual filing systems;Maintain confidential records and files for the Facilities Department as necessary, for reports, correspondence, inquiry responses, etc.;Handle inquiries from District personnel;Obtain quotes from vendors, attach any applicable bid/contract back up documentation, review with Director of Facilities and/or Assistant Superintendent of Business;Enter requisitions on nVision following the NYS & District Purchasing & Reimbursement procedures;Obtain completed W9 forms and submit to the Business Office to set up new vendors;Follow up with vendors regarding scheduling and shipping lead times;Disperse purchase orders to vendors for goods and services via email;Discuss requisitions that have no funding on budget code with the Director of Facilities/ Assistant Business Manager and/or Assistant Superintendent of Business to resolve;Check nVision for payment status, review claims spreadsheet to see if invoices were submitted for payment, request copies of invoices;Close purchase orders, request purchase order increases, request budget transfers;Receive/review department invoices and prepare for payment: attach copy of purchase order, run vendor purchase order history, attach spreadsheet with list of invoice to be paid, make sure invoices weren't previously paid;Gather data and assist Director Facilities with the preparation of the annual budget presentation;Review daily attendance and overtime timesheets for the facilities staff;Receive calls from buildings with maintenance concerns and reach out to the appropriate Facilities personnel to investigate and remedy;Collect and process work orders and enter them on Qware;Coordinate custodial equipment service and repair for buildings, review estimates with Director of Facilities for approval;Arrange for packages and correspondence to be picked up and transported by District Messenger from internal and external locations;Assist with preparations for annual public school fire safety inspection and reporting: prepare forms for inspector, schedule various inspections with vendors related to fire safety inspections;Schedule department meetings and take minutes;Forward certificates of occupancy to building Head Custodians for posting;Add new vehicles and equipment to the district insurance policy, prepare paperwork for vehicle registrations;Request insurance documentation from contractors performing work and/or providing services to the District and from organizations using district facilities, review the documentation with district administration and submit to NYSIR for review and maintain appropriate records;Coordinate staff development meetings, workshops and other training sessions; Prerequisites: In order to be considered for appointment, candidates must either hold permanent status in the title or meet the requirements for a provisional appointment. The workweek is 35 hours, 7 hours per day.Salary and Benefits: Depending upon experience, salary range begins at $54,025-$78,135.
