The position requires frequent interaction with employees and leadership.Qualifications- Associate’s or Bachelor’s degree in Business Administration;- 1–2 years in an administrative or HR support experience; school or non-profit experience preferred- Bilingual (English/Spanish) required- Excellent time management, organizational and communication skills- Excellent written, verbal and interpersonal communication skills- Proficient in Google Workspace and Microsoft Office (Word, Excel, PowerPoint, Outlook)- Discreet and professional with confidential information (confidentiality agreement required)- Willingness to learn, adapt, and support cross-functional teams- Ability to multitask and manage time effectively in a fast-paced environment- Dependable, solutions-oriented, and proactive- Maintains a professional appearance and positive demeanor- Demonstrates discretion, integrity, and personal accountability- Flexible and able to adjust to shifting priorities- Ability to adapt in a high paced work environment- Commitment to the School’s mission and visionKey Responsibilities- Provides direct administrative assistant to the Human Resources Manager;- Manage calendar, schedule meetings, supporting internal communications, and handles correspondence;- Assist with job postings, resume reviews, and interview scheduling;- Prepare offer letters and initiate background check processes;- Assist with onboarding new hires and administering company benefits;- Manage calendars, schedule meetings, respond and follow-up to emails as needed;- Prepare correspondence, reports, meeting agendas, and presentation materials;- Maintenance of all employee files, both paper and electronic, related to events, such as hiring, terminations;leaves, transfers, or promotions in files as well as similar records using the utmost confidentiality;- Maintain additional files and documents related to executive and HR functions;- Assist with HR compliance documentation, including verification of I-9s, background check, fingerprint clearance and other related onboarding documentation;- Assist with HR-related compliance such as maintaining equal employment opportunity records and personnel audits;- Support logistics and materials preparation for leadership meetings, board meetings, and HR initiatives;- Assist in onboarding and off boarding processes, including scheduling orientations, preparing new hire paperwork, scheduling exit interviews and conducting follow-ups;- Process background and reference checks and process hiring-related paperwork for all new hires;- Maintain and update employee records and personnel files, ensuring compliance with legal and organizational standards;- Track staff certifications, training completions, and policy acknowledgments;- Track and maintain logs related to employee PTO, leaves, and benefits enrollments;- Assist with benefits enrollments, qualifying events and terminations, monthly check processing for medical, dental, and vision- Assist with preparing documentation for audits, compliance and internal reporting- Track and ensure completion of recurring administrative tasks- Other HR-related administrative support and duties as assignedApplying & selection processAfter submitting your cover letter and resume, the CSEE hiring team will carefully review your application materials.
