This is a full-time, 12-month civil service role that provides high-level administrative support to a department head or administrative officer. The successful candidate will perform complex clerical duties requiring confidentiality, attention to detail, and the ability to work both independently and collaboratively.This role offers a competitive salary and benefits package consistent with district policies and relevant negotiated agreements. Key Responsibilities (Illustrative Only)Type correspondence, reports, memoranda, and documents using a computer or word processorMaintain and manage department files (both digital and paper) and handle confidential information appropriatelyScreen calls and visitors, respond to routine inquiries, and refer matters to appropriate personnelSchedule meetings, conferences, and travel arrangements; prepare meeting agendas and may take minutesManage mail: open, sort, distribute, and respond to correspondence as appropriateAssist with tracking and processing requisitions, claims, and billsMaintain records related to personnel, finance, and departmental operationsOrder office supplies and materialsPrepare summaries and collect data for reportsSupervise clerical assistants as needed QualificationsMinimum Qualifications (Must meet one of the following):(a) Associate degree or higher in Administrative Assistant or a related field from a regionally accredited or NYS-registered college or university and one (1) year of clerical experience involving typing;OR(b) High school diploma or high school equivalency and three (3) years of clerical experience involving typing;OR(c) An equivalent combination of training and experience as defined by the limits of (a) and (b) above. Preferred Skills and AbilitiesStrong knowledge of office terminology, procedures, and best practicesProficiency in Microsoft Office Suite (Word, Excel, Outlook) and use of office equipmentAbility to manage multiple tasks and meet deadlines in a fast-paced environmentExcellent communication, organizational, and interpersonal skillsAbility to handle administrative details independently and exercise sound judgmentExperience with school-based administrative work is a plus Application ProcessApplicants must meet Otsego County Civil Service requirements and may be required to take a competitive examination.
