Position Overview:The Personnel Assistant plays a pivotal role in the efficient functioning of personnel and human resources operations within our organization. Responsible for a wide array of tasks ranging from onboarding and offboarding employees to managing benefits enrollment and coordination, strong organizational skills, this role requires meticulous attention to detail, and an understanding of relevant regulations and procedures.Key Responsibilities: Employee Onboarding and Offboarding:Facilitate the onboarding process for new hires, ensuring completion of all necessary paperwork, including verification of licensure/certification where applicable, fingerprinting, and eligibility to work in the US (Form I-9).Coordinate offboarding procedures for departing employees, including exit interviews and completion of relevant documentation.Benefits Administration:Serve as the benefits coordinator for the health insurance consortium, managing enrollment, discontinuation, and verification of monthly bills.Assist employees with paperwork related to benefits enrollment, tax withholdings, and other related matters.Work with retirees to discuss benefits in retirement and coordinate necessary paperwork.Work with the business office to ensure the accuracy of retiree health insurance benefitsResponsible for benefits (enrollment, discontinuance, bill accuracy, etc.) where applicable, eg. life insurance, disability.Human Resources Compliance:Maintain familiarity with all employment contracts and enforce contract terms related to human resources and benefits.Act as the Family and Medical Leave Act (FMLA) liaison, ensuring compliance with regulations and proper documentation.Manage sick bank for collective bargaining units and oversee attendance tracking using frontline attendance system and Wincap.Data Management and Reporting:Ensure accuracy of Full-Time Equivalents (FTEs) in Wincap software and maintain human resources data.Track positions, paid and unpaid leaves.Maintain seniority lists for bargaining units and post personnel-related resolutions to the Board of Education agenda.Handle BEDS and VADIR data collection and state reporting.Maintain Global Compliance Network (GCN) databaseAdministrative Support:Post all job positions on the OLAS and assist with recruitment efforts as needed.Create annual letters of assurance and evaluations for bargaining units, substitutes, and hourly employees.Assist with Section 75 and Section 3020A actions as needed.Support building administrators, assistant superintendents, and the superintendent as required.Requirements:Strong organizational and multitasking abilities.In-depth knowledge of relevant regulations and procedures.Proficiency in technology, including spreadsheet and word-processing applications.Familiarity with Wincap software is desired.Excellent communication and interpersonal skills.Ability to work effectively in a team and independently.Attention to detail and high level of accuracy in all tasks.Demonstrated ability to handle confidential information with discretion and maintain the highest level of professionalism in all interactions.Additional Information:This position may involve additional projects and duties as assigned to support the efficient functioning of the organization's personnel and human resources operations.Must hold civil service title or be reachable on the civil service list. Prior experience school district experience is preferred.
