POSITION: Confidential Secretary to the Superintendent & District ClerkTERMS: Full-time, 12 months – Civil Service ExemptSALARY/BENEFITS: To be determined EFFECTIVE DATE: May 1, 2025 (One-year probationary period)LOCATION: District Office Major Responsibilities of PositionThis is a responsible position requiring extreme confidentiality. It calls for the exercise of independent judgement in application of prescribed procedures in responding to unexpected situations, and in performing complex tasks. This position is responsible for performing secretarial duties for the Superintendent of Schools. Examples of Work Performed• Perform confidential and detailed secretarial work of varied nature for the Superintendent (Google docs, spreadsheets, correspondence, Calendar, etc.)• Work closely with all building supervisors and District administrators on various tasks• Maintain Board Policy and Regulations Manual• Assist with personnel file maintenance• Track seniority and probationary staff, certifications• Assist with newsletter and District website information (compiling, proofing)• Responsible for conference arrangements for the Superintendent and Board of Education• Works with the Superintendent and Business Administrator on various documents (Budget, Taxes, Capital, etc)• Schedule meetings for the Superintendent• Responsible for the District calendar (compile dates, work with public relations person to compile photos, proof)• Data management and reporting• Attend Board meetings and take minutes Required Knowledge, Skills and Abilities• Maintain strong degree of confidentiality• Ability to handle routine administrative details independently• Ability to seek comprehensive knowledge of the functions and operations of the Superintendent’s office and the Board of Education (Open Meetings Law, Roberts Rules of Order, NYS Education Law)• Professional interaction with staff, students, parents, visitors and the public in general in a manner which creates respect and confidence towards the Board of Education, District administration, and the District as a whole• Must have the ability to work in a collaborative environment and to respect and value the dignity of allPreferred Acceptable Experience and Qualifications• Degree from a two-year college or accredited business school, with a major in business or related field, or• At least two years of experience working in an executive secretarial position or in the field of education.
