Must currently hold the title of School Office Manager, be reachable on the Civil Service list, or be eligible to sit for the upcoming School Office Manager exam.Knowledge of IEP Direct, nVision, Timepiece, Infinite Campus and Microsoft Office 365 preferred.MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE: Possession of a high school or equivalency diploma and either:(A) Six (6) years of secretarial experience, three (3) of which involved the use of word processing; or(B) Graduation from an approved secretarial school or business school and five (5) years’ experience as stated in (A) which must include the three (3) years of specialized experience; or(C) Any satisfactory equivalent combination of the foregoing training and experience.SUBSTITUTION: Satisfactory completion of 30 credits* may be substituted for each year of the above stated experience to a maximum of two (2) years, exclusive of the specialized experience.*NOTE: Education beyond the secondary level must be from a regionally accredited institution or one recognized or accredited by the Board of Regents of the New York State Department of Education as a post secondary degree granting institutionNOTE: Data entry experience may not be substituted for the above required word processing experience.SPECIAL REQUIREMENT FOR APPOINTMENT IN SCHOOL DISTRICTS:In accordance with the Safe Schools Against Violence in Education (SAVE) legislation, Chapter 180 of the Laws of 2000, and by the Regulations of the Commissioner of Education, candidates for appointment in school districts must obtain clearance for employment from the State Education Department prior to employment based upon a fingerprint and criminal history background check.GENERAL STATEMENT OF DUTIES: Performs complex secretarial, administrative support, and public contact work in the management of a school office; does related work as required.DISTINGUISHING FEATURES OF THE CLASS: Under general supervision, an incumbent of this class performs complex and varied secretarial and administrative suppo1i duties involving considerable public contact work in a school office or a large department with district-wide responsibility. This class differs from that of Secretary in that it requires a greater degree of independent judgment and a more detailed knowledge of school/administrative procedures. This class exercises independent judgment, based on expertise of departmental operations, to determine priority of work, channel work to appropriate staff members, monitor progress of work, meet deadlines, and to accomplish work with a minimum of supervision. This class is a high executive secretarial level position with skill in word processing; and is associated with the highest degree of skill, judgment, initiative, and effectiveness. Supervision is exercised over clerical staff.REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND ATTRIBUTES: Thorough knowledgeof English, spelling, grammar and punctuation; good knowledge of modern office practices and procedures and the use of automated office support services and equipment including word processing and personal computers; ability to learn the organization, function, rules, policies and regulations of the school; ability to get along well with students, parents and teachers often under stressful conditions; ability to plan and supervise the work of others; ability to understand and solve complex school office management problems; good knowledge of office record keeping practices; good knowledge of the capability of word processing and personal computer equipment to produce various formats such as correspondence, repo1is, tables, charts, and to file and retrieve information; ability to produce printed copy which is neat, accurate and conforms with standard English usage; ability to communicate effectively both orally and in writing; ability to understand and carry out complex oral and written directions; ability to deal effectively with others; accuracy; resourcefulness; initiative; neat personal appearance; ability to perform in a reasonable manner the essential function of the position.
