MUST BE ELIGIBLE TO SIT FOR THE UPCOMING SCHOOL OFFICE MANAGER CIVIL SERVICE EXAM.MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE: Possession of a high school or equivalency diploma and either;A) Six years of secretarial experience, three of which involved the use of word processing; orB) Graduation from an approved secretarial school or business school and five years experience as stated in (A) which must include the three years of specialized experience; orC) Any satisfactory equivalent combination of the foregoing training and experience.General Statement of Duties:Performs complex secretarial, administrative support, and public contact work in the management of a school office; does related work as required.EXAMPLES OF WORK: (Illustrative only)Acts as assistant to the Principal or Director, receiving callers, making appointments and making appropriate referrals;Relieves the principal/administrator/director of details which do not require their personal attention by the use of discretion when dealing with confidential information, tact and a comprehensive knowledge of school and district procedures and policies;Arranges meetings and conferences, and insures notification to all participants;Answers oral and written requests for information requiring good knowledge of school and district-wide procedures and regulations;Orders and coordinates the distribution of standardized and specialized testing and examination material;Opens and distributes mail for staff; Independently answers routine correspondence;Receives records for newly registered students and forwards records for students who are leaving the school or district;Prepares and distributes pupil absentee lists; Provides passes for and records pupils' tardiness;Maintains and processes student life, health, disciplinary and guidance records; Orders, receives, counts, records and forwards books, school and office supplies; Issues keys, passes, certificates, working papers, etc.;Prepares, audits, records and tracks requisitions and purchase orders for educational, building and office supplies and services to the business office;Administers basic first aid in absence of School Nurse; Notifies parents of sick pupils to be taken home; Prepares accident reports;Performs complex clerical and typing tasks using automated technology, special software applications, and word processing;Assembles and types budget requests;Administers and accounts for budget accounts, special accounts, petty cash and other funds; Maintains and/or supervises the maintenance of office files and records;Maintains staff time and attendance records/schedules and processes payroll records; Coordinates annual staff evaluations; maintains confidential teacher/student/staff disciplinary files;Receives calls from teachers who will be absent and arranges for substitutes;Prepares and distributes teachers' schedules, special functions, school calendars, testing schedules, etc.;Forwards applications for various activities and programs both within the school system and outside the system;Operates various types of automated office equipment; Types letters, memoranda and similar materials as required.Compensation as per the CSEA contract with benefits.
