POSITION: District Clerk QUALIFICATIONS: Either: Three years of clerical experience, one of which involved keeping or auditing accounts and graduation from high school; or any satisfactory equivalent combination of experience and training.SALARY: $8500.00 JOB DESCRIPTION: The role of the District Clerk is critical in ensuring legally compliant board meetings and public hearings, as well as supporting the smooth functioning of the Board of Education. The District Clerk performs a variety of clerical duties in connection with the business management of a school district; does related work as required.DISTINGUISHING FEATURES OF THE CLASS: This work calls for the exercise of mature business judgement in carrying out an established routine. Employees in this class are under general supervision of the trustees or Board of Education, which formulates policy and checks on the work by means of periodic reports. This work may involve use of stenographic skill in taking and transcribing minutes of board meetings.TYPICAL WORK ACTIVITIES: Some of the daily duties as District Clerk are as follows:Gives notice of time and place of district meetings;Prepare agendas, ensuring all legalities are met with all Board actions. Ensure that all Capital Improvement Project resolutions are in order;Prepare all materials for Board Meetings, attends all meetings of trustees or Board of Education, takes minutes at meetings and prepares official minutes for each meeting;Contacts Facilities Department responsible for making physical arrangements for rooms, chairs, lights and other materials or equipment needed for meetings;Records proceedings of all meetings of voters: Organize and manage all Budget Votes and Elections and Capital Improvement Project Elections. This includes preparing a newsletter for the public, ordering ballot machines, ordering ballots and all election materials, and hiring election workers, all while in compliance with NYS Education Law;Reads incoming correspondence to Board and distributes copies for Board members;Sorts, indexes, and files Board materials alphabetically and numerically;Posts to ledger accounts from expense and appropriation records;Ensures that all Board members are trained in accordance with NYS Education Law;Keeps a record of all contracts and other legal forms;Works closely and daily with the Business Administrator, Human Resources Specialist, Superintendent, Assistant Superintendent, Board Members, Administrators, staff and community members, sometimes acting as point of contact between community and Board;Maintain ever-changing District Policy Manual and District Plans/Procedures/Regulations;Utilize BoardDocs program, allowing up-to-date online access to meeting agendas, minutes, back up information, and up-to date District Plans;Sort, organize, file, and prepare all Board of Education materials, official minute books, back up files and indexes and ensure they are easily accessible;Utilize FileBound to store Board files;May perform other incidental tasks, as needed.FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES & PERSONAL CHARACTERISTICS: Good knowledge of elementary account-keeping procedures; some knowledge of modern business administration procedures, public personnel practices, and governmental budgetary procedures; familiarity with the laws, regulations, practices and policies of the New York State school system; tact and courtesy; good judgement; ability to promote and maintain effective public relations; ability to present oral and written opinions clearly and concisely; thoroughness and dependability; good physical condition.Uses computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments; APPLICATION PROCEDURE: Please apply on OLAS or send letter of interest to:Holly Leone, Human Resource Specialist, holly.leone@waterloocsd.org Waterloo School District is in compliance with the United States Civil Rights Act of 1964 and the Title IX Educational Amendment of 1972, Part 86, and Section 504 of the Rehabilitation Act of 1973.
