Westhill Central School District Special Education Office Typist 1 20 hours/week, 12 months Job Description: Special Education Typist I General Summary The Special Education Typist I provides administrative and clerical support to the Special Education department. Key duties include managing student files, processing Medicaid documentation, handling departmental mail and phones, coordinating with agencies and BOCES, and maintaining the budget and supplies. Hours 20 hours/week Key Responsibilities File Management and Documentation - Maintain student records, including creating new files for transfers and initials, moving inactive files, and shredding files older than 10 years. - Manage the Document Repository by uploading evaluations and meeting notices in chronological order. - Organize and distribute IEPs and related testing documentation to appropriate school staff and case managers. Administrative Operations - Handle daily mail processing and distribution, and manage departmental phone calls and messaging. - Process budget invoices, order and distribute supplies, and track account spending. - Assist with transportation coordination for students with special needs. Compliance and Specialized Processing - Process Medicaid forms for initials and transfers, and coordinate script renewals with medical offices. - Manage reevaluation consent logs and follow-up mailings to parents. - Coordinate with BOCES regarding student enrollment, report cards, and Extended School Year (ESY) services. TYPIST I 01000 (Competitive) DISTINGUISHING FEATURES OF THE CLASS The work involves responsibility for performing clerical and typing duties of a routine nature. Under immediate supervision, an employee in this class performs typing and clerical work that follows well established procedures. The work requires skilled typewriting in addition to clerical work similar to that of the Clerk I class. Detailed instructions and close supervision are received at the beginning of work and on new assignments, but regular routine tasks are performed more independently and some initiative and judgment is utilized as experience is gained. Assignments to the employee include use of standard office equipment. Work is supervised and reviewed by superiors upon completion for content and accuracy. Does related work as required. TYPICAL WORK ACTIVITIES Transcribes from dictating machine or types from rough copy, reports, letters, tabulations, vouchers, various legal documents, etc. Uses a manual or electric typewriter, or any type of computerized equipment with a word processing function to complete typing duties. Posts simple and routine data to various departmental records and compiles and types reports based on tabulations of posted data and simple arithmetical computations. Receives and screens applications, vouchers or other forms for accuracy of content and compliance with procedural and regulatory requirements. Sorts, indexes and file documents, reports, vouchers, correspondence and other material. Gives routine information regarding departmental procedures, and types routine letters or form letters to answer written inquiries. Type data on forms, departmental records or index cards. Checks and proofreads typed copy. Opens, sorts and distributes mail; may collect and credit bills. May act as a receptionist, directing callers to proper person or office and giving information of a routine nature. May operate a variety of office equipment. May relieve telephone switchboard operator. FULL PERFORMANCE KNOWLEDGE SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS Working knowledge of general office terminology, procedures, and equipment and clerical techniques. Working knowledge of business English and spelling. Skills in typing accurately from rough draft clear copy or a dictating machine at a reasonable rate of speed. Ability to perform clerical operations with letters and numbers. Ability to understand and follow oral and written instructions. Ability to perform arithmetic computations and tabulations accurately and with reasonable speed. Ability to learn assigned tasks readily and to adhere to departmental routines. Ability to learn how to operate a variety of typing equipment, which may include automated typing systems, word processors, micro-computers and word processing software. Clerical aptitude.
