The Development Assistant is responsible for all administrative functions critical to the success of the Development Department including day-to-day database management, special event support and collaboration on special projects. The Development Assistant reports directly to the Director of Development. This is a full time non-exempt position, benefits eligible. This position will be based out of our Glen Cove location. The hours are 8A-4P with the flexibility for longer hours around event preparation. Function as primary database administrator; manage all aspects of database including gift processing, data entry, creating queries and reports.Track all fundraising revenue in database.Maintain integrity of the database including performing systematic cleanup as well as routine maintenance when needed.Serve as liaison to the Business office for maintaining and reconciling financial recordsMake recommendations and implement policies and procedures to ensure data consistency.Process donations and prepare acknowledgement letters, and gift receipts and other correspondence in a timely manner.Coordinate all elements of mailings and other communications.Assist with the planning, coordination and execution of events to help ensure event success.Provide pre- and post-event support as needed.Coordinate event logistics including registration and attendee tracking.Work with event sponsors to secure logos, journal pages and guests names.Solicit, secure and wrap raffle prizes for events.Create digital journal for Gala.Print place cards for Gala.Coordinate credit cards processing technology at all events.Solicit food & wine vendors and obtain Department of Health paperwork for Chefs Tasting.Oversee event volunteers.Follow-up post-events with pledges and invoices.Additional duties as assigned by Director of Development. Minimum Qualifications/Knowledge, Skills and Abilities Required: Bachelors degree in Communications or similar field preferred.Fundraising experienceThree years administrative experience.Database experience preferred.Proficient in Microsoft Office (Suite).Ability to quickly master computer skills and programs, database system.Efficient, well-organized, detail-orientedSelf-motivated, follow-throughAbility to multi-task with changing prioritiesExcellent interpersonal communication skills.Able to manage communication of sensitive informationTeam player Tiegerman is an EEO and AA employer.
