The Skaneateles Central School District is looking to fill a vacancy for a 12 month position as an Administrative Assistant in the District Office. Details about the position are as follows:Job QualificationsGraduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with a Baccalaureate Degree; orFour (4) years of paraprofessional or professional level work experience, or its part-time equivalent; or,Four (4) years of clerical work experience which must have been in either a supervisory capacity or in a non-supervisory, advanced capacity, such as executive secretary to a department head, second-line supervisor, or administrator; office manager who provides fiscal, personnel, and office services in support of a department head, second-line supervisor, or administrator; or a full-charge bookkeeper.An equivalent combination of training and experience as defined by the limits of (A), (B), and (C). Job Skills and AbilitiesKnowledge of District Office functions, procedures and methodsKnowledge of business arithmetic and communication skillsKnowledge of principles and practices of office and personnel managementKnowledge of the principles and modern practices of record keeping and budget controlsKnowledge of the functions of local government and of the character of relationships between departments and between public and private agenciesKnowledge of general technological software such as Microsoft Excel/Word/PowerPoint, Google Chrome, Infinite Visions, and to have the ability to understand other software platforms assigned by administrationAbility to organize, coordinate, and review tasks assigned by office administrators and other District Office staffAbility to understand and carry out complex oral and written instructionsAbility to prepare correspondence and produce reports when necessaryAbility to present oral and written reports clearly and conciselyAbility to work with others in a team friendly environmentAbility to deal effectively and efficiently with the publicAnswer phone calls and communicate in a professional and consistent mannerRetrieve and distribute incoming mail to applicable administration and Business Office personnelAdditional clerical and office duties as assigned Job ResponsibilitiesBe directly involved in interviews and the selection process of candidates while assisting administration in the onboarding processProvide administrative support to ensure efficient operations of the typical District Office functionsPerform professional duties and be responsible for public information services around the school district.Responsible for agency records and to organize governmental records to ensure certifications, tenure dates, and other items are tracked to ensure accuracy of probationary appointments, promotions, demotions, etc.Exhibits polite and professional communication skills via answering and directing phone calls to applicable personnel and greeting visitorsSchedule appointments and maintain calendars of supervising administratorsSchedule and coordinate with business office staff and plan/book additional meetingsCollate and distribute mail, email, memos, faxes and other forms throughout the dayPrepare communications, such as memos, emails, invoices, reports and other correspondenceWrite and edit documents from letters to reports and instructional documentsCarry out administrative duties such as filing, typing, copying, binding, scanning, etc.Manage receivable accounts and perform bookkeeping in the district’s financial system Compensation and Work HoursSalary will be based on work experience, ability and will be regionally competitive.12 month position from 7:30-4:00 daily and 7:30-3:00 when school is not in session.
