The Rome City School District is recruiting for a full time Executive Secretary. This position is located at the district office in the Instruction and Curriculum department. This position is 12 months per year, 8 hours per day. Selected candidate must meet the minimum Civil Service requirements and will be subject to an examination.A.) Graduation from a regionally accredited college, university, business school or institution accredited by the New York State Board of Regents to grant degrees with an Associate's degree in Secretarial Science and one (1) year of experience, or it’s part-time equivalent, as a secretary which must have included word processing; OR B.) Graduation from high school or possession of a GED with at least three (3) years of office experience, or its part-time equivalent, which must have included typing and clerical work as a primary function of the job; OR C.) An equivalent combination of training and experience as defined by the limits of (A) and (B) above. Substitution of education for experience will be made on a year for year basis. EXECUTIVE SECRETARY DISTINGUISHING FEATURES OF THE CLASS: This is a high-level secretarial position involving a variety of difficult clerical and routine administrative duties important to the efficient operation of the Rome City School District. Employees in this class are responsible for relieving an administrator of day to day details by arranging appointments, conferences and meetings, as well as reservations for out of district travel. Work involves a close working relationship with administrators, principals, superintendent, parents and outside agencies. Work is performed under general supervision with wide latitude for independent judgment. Direct supervision may be exercised over one or more clerical subordinates. Does related work as required. This classification requires a great diversity in skills and their responsibility is to an executive school administrator within the district. TYPICAL WORK ACTIVITIES: • Manage documentation related to union agreements, disciplinary actions, and personnel files with restricted access.• Prepare confidential reports and summaries for district level meetings regarding workforce strategies, budget impacts, and labor compliance.• Coordinate and oversee the scheduling and preparation of administrator’s schedule and district level meetings. • Manage documentation and prepare correspondence to support administrators in resolving sensitive personnel issues, including grievances.• Ability to handle sensitive matters with a high degree of professionalism and maintain confidentiality at all times. • Relieves an administrator of office details by applying knowledge of Rome City School District regulations in responding to routine administrative tasks as well as making appointments, receiving calls, scheduling meetings and completing reservations;• Compiles, edits and prepares a variety of reports and surveys, some of which are of a complex and technical nature;• Prepares correspondence, agendas, and minutes of meetings; •Uses a manual, electric or other computerized word processing software to carry out work functions • Assists an administrator in the preparation of reports, surveys, and bulletins;• Files and updates office records and other documents including confidential correspondence, internal memos, reports, policies and procedures; • Operates a variety of standard office equipment and software programs such as Google Suite and Microsoft Windows;• May maintain control of confidential records and files; • May supervise a small clerical staff. FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS • Thorough knowledge of secretarial practices; • Thorough knowledge of office terminology, procedures and equipment; • Good knowledge of word processing techniques and practices; • Good knowledge of and ability to make use of proper English grammar and business composition;• Good knowledge of business arithmetic with the ability to perform accurate mathematical calculations; • Ability to assign and supervise the work of a small group of clerical staff; • Proficiency in drafting, reviewing, and editing policy documents, contracts, and correspondence. • Ability to edit written material for grammatical and composition errors; • Strong organizational skills, including the ability to file and maintain up-to-date records. • Ability to collect and organize data; • Ability to understand and carry out complex oral and written directives; • Ability to effectively communicate both orally and in writing with staff and the general public; • Ability to exercise sound judgement in resolving routine to complex problems; • Ability to maintain confidentiality of records and office business; • Working knowledge of computers, PC based word processing, Google Suite and office related software; • Working knowledge of resources available for use in the completion of department objectives;• Ability to get along well with others; • Possess a positive and friendly attitude.
