The Rome City School District is recruiting for a full time Administrative Assistant. This position is located at the district office in the Supported Learning department. This position is 12 months per year, 8 hours per day. Selected candidate must meet the minimum Civil Service requirements and will be subject to an examination.MINIMUM QUALIFICATIONS: EitherA. Graduation from a regionally accredited or New York State registered four (4) year college or university with a Bachelor’s Degree in Business Administration, Accounting, Public Administration or related field and one (1) year of administrative or supervisory office or program management experience; ORB. Graduation from high school or possession of a New York State high school equivalency diploma (GED) and five (5) years of administrative or supervisory office or program management experience; ORC. An equivalent combination of experience and training as outlined by the limits of (A) and (B) above.SCHOOL DISTRICT COMPETITIVE CLASSIFICATIONADMINISTRATIVE ASSISTANTDISTINGUISHING FEATURES OF THE CLASS: These duties involve responsibility for assisting a department head or administrator by performing various administrative tasks. The incumbent performs various management functions including, but not limited to, program planning, budgeting, personnel management and supervision, fiscal management, report preparation and program evaluation. The work is performed under general supervision of the administrator with latitude allowed for the exercise of independent judgment in carrying out assignments. An Administrative Assistant also does related work as required.TYPICAL WORK ACTIVITIES: (Illustrative only)• Assists in the formulation of policies and procedures for the administration of various programs;• Advises department personnel on appropriate administration and budgetary procedure to be followed in accordance with established policy or procedure;• Assists the department head or administrator in matters related to administration, budget and office procedures by conducting surveys and analyzing data;• Secures budget estimates and prepares draft budgets;• Prepares special administrative and financial reports as requested by the department head or administrator;• Supervises and expedites the maintenance of records and the preparation of reports for a variety of programs;• Participates in professional conferences and training programs;• Prepares financial statements and evaluations;• Arranges for and coordinates in-service training programs;• Plans and supervises the collection, tabulation and analysis of financial and statistical data;• Explains department or agency functions and activities at meetings with civic groups and community organizations;• May recruit and recommend hiring of employees.FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:• Thorough knowledge of principles and practices of office management;• Good knowledge of personnel management methods and procedures, organization, reporting, communication, and supervisory principles and techniques;• Good knowledge of business arithmetic and English;• Working knowledge of statistical techniques, in relation to the collection and tabulation of raw data;• Ability to plan and supervise the work of others;• Ability to get along well with others and to secure their cooperation;• Resourcefulness in the solution of complex administrative problems;• Physical condition commensurate with demands of the position.MINIMUM QUALIFICATIONS: EitherA.
