The Pelham School District is looking for a Payroll Clerk. In order to be considered, candidates MUST currently hold the Civil Service title “Payroll Clerk”. Please note that we are also canvassing the current Civil Service list for this position. The candidate must have passed the exam for this title and be reachable on the corresponding Westchester Civil Service list(s). This is a 12-month position. Academic break periods are considered working days. Location: Business Office Job Description: Responsible for all aspects of processing semi-monthly payroll including accurate tax, health and other deductions and compliance with bargaining unit provisions; and preparation of related reports for tax withholding, insurance, retirement and garnishments Prepare semi-monthly Trust & Agency payments related to payroll and upload required information to banking system Prepare quarterly payroll tax returns and annual W-2s in coordination with LHRIC Update and maintain salary, benefit deduction, employee demographic information and direct deposit information in accounting software Maintain records for Flexible Spending Account (FSA) deductions, enrollment, and changes; enroll staff in FSA Create annual payroll purchase order including contractual salaries and supplemental earnings such as stipends Prepare annual rollover of salary and benefit grids; prepare annual estimated rollover of salaries for budget purposes; prepare annual payroll calendar Respond to payroll-related inquiries and survey requests from various interests including Department of Labor, mortgage providers, employees, administrators, retirees, pension system, auditors, union leaders and BOCES Register employees in Timepiece automated time tracking system, and administer Timepiece shifts, pay codes, earnings codes and calendar Required Knowledge, Skills, Abilities and Attributes: Reliable and dependable with high level of attention to detail Strong computer and organizational skills; ability to multi-task and schedule work hours to meet firm payroll deadlines Good knowledge of modern payroll procedures and working knowledge of Social Security and retirement laws; ability to research and resolve issues Proficiency in NVision, Timepiece and Excel Able to maintain complete confidentiality and exercise discretion in dealing with sensitive issues Possess good judgment and tact including when to seek guidance Excellent communication skills and ability to interact with individuals at all levels of the organization Minimum Acceptable Training and Experience: Graduation from high school or possession of a high school equivalency diploma and three (3) years of clerical experience, two (2) years of which must have involved the processing of payrolls using automated systems Substitution: An Associate’s Degree in Accounting, Finance, Business or closely related field may be substituted for two (2) years of the above clerical experience. There is no substitution for one (1) year of specialized clerical experience that involved the processing of payrolls using automated systems Must hold the Civil Service title “Payroll Clerk” on a permanent basis with the Westchester County Department of Human Resources Salary commensurate with experience Application will be accepted through April 5, 2026 or until this position is filled.
