The District is seeking to employ a Secretary to School Administrator in our Pupil Personnel DepartmentThis position will be filled on a provisional basis. This means the candidate will need to pass the Civil Service test for this title the next time the test is offered and will need to be among the top scorers of interested candidates. Work hours—full time 9am-5pm;Work year—Please note that this is a full-time year-round position. Academic break periods are considered working days.Candidates should possess the following qualifications:Exceptional multi-tasking skillsIndependent, resourceful in completing assigned tasksStrong analytical skills—adept at managing budgetsProficiency with computer applications including Google Suite, Microsoft Office and accounting softwareAbility to maintain confidentialityGood interpersonal skillsAccurate and detailed orientedJob responsibilities include:Utilize IEP Direct software and STAC and CPSE portal to track and manage the provision of services for preschool aged students; organize meetings, gather information, track and enter student dataBudget and financial management for the PPS, Guidance and Nursing departments, including analyses of spending, obtaining vendor bids, developing RFPs, requisitioning materials, services and supplies, analyses of utilization of related service by vendor and by studentAdministrative support for the Asst. Super. of Pupil Personnel Services including calendar management, phone call management and written communicationsAssistance in managing Federal, state and local grants including spending analyses and completion of state reporting formsManagement of tuition contracts and transportation for in-District and out-of-District placed students; obtaining prescriptions for related servicesPreparation of schedules and resolutions for Board of Education meetings for the PPS departmentMinimum Acceptable Training and Experience per Civil Service Requirements:Graduation from high school or possession of a high school equivalency diploma and either:5 years of secretarial experience in support of higher level administrator(s), or a department or unit head, 3 years of which must have involved the use of computer applications to maintain records and produce correspondence; or:Graduation from a post high school secretarial or business school with a degree or certificate* in secretarial sciences, office technology or closely related field and 3 years of the specialized experience using computer applications as described in (a) Substitution: Satisfactory completion of 30 college credits* may be substituted on a year for year basis for up to 4 years of the secretarial experience described above. Candidates must have at least 1 year of the specialized experience using computer applications described in (a). *Note: A certificate program is defined as the successful completion of a minimum of 6-8 courses of study and results in the issuance of a certificate. Education beyond the secondary level must be from an institution recognized or accredited by the Board of Regents of the New York State Department of Education as post-secondary, degree-granting institution.
