Peekskill City School District Senior Office Assistant (Automated Systems) (Spanish Speaking)Job Description POSITION TITLE: Sr. Office Assistant (Automated Systems) (Spanish Speaking) PRIMARY FUNCTION: The primary function of this position was established for the purposes/ of collecting and maintaining student attendance information at the assigned site; meeting district, state and federal requirements relating to attendance processes including parent/legal guardian notification; preparing and distributing attendance reports and materials; providing clerical support at school site; and communicating various information regarding activities. In addition, assisting with the testing process (Regents, SAT, and AP exams) and college and scholarship applications by processing transcripts, entering high school data, managing teacher recommendations, entering data in Naviance, and other duties as needed. ROLES & RESPONSIBILITIES: Facilitates Attendance for all High School StudentsDuties include, but are not limited to: Resolving student attendance in the Infinite Campus program, the preparation and dissemination of attendance letters, the collecting, data entry and reporting of attendance data and statistics as needed from Infinite Campus, and the reporting and communicating of all necessary attendance issues to building administrators and guidance department faculty in a timely and efficient matter.Reporting of Attendance Data and StatisticsThis incumbent must collect, maintain and run all necessary data reports via Infinite Campus and Google Sheets.They must keep an accurate track record of all student suspensions and disciplinary issues.Additional duties would include, but are not limited to the processing, monitoring, facilitating, and tracking of referrals and suspensions, in addition to the recording of all VADIRS.Work in Tandem with Guidance Staff and Building AdministrationAssist with many facets of the college process for graduating HS seniors.Additional duties include, but are not limited to, accessing student files and schedules, handling of confidential student files, assisting with college applications and the producing of transcripts (using the Naviance program), and communication with local colleges and universities.Monitor All Incoming and Outgoing Office CommunicationsThis incumbent is responsible for setting up, recording, and disseminating Connect Ed calls to parents/legal guardians, faculty and staff.Additionally, they are responsible for answering all phone calls from parents/legal guardians, administration offices, faculty and staff and delegate to proper person or office. Assist Assistant Principals in the testing process throughout the year (Regents, SAT, and AP exams).Duties include, but are not be limited to yielding inquiries from parents/legal guardians, students, faculty, and staff, creating proctoring schedules for NYS Regents as well as other annual student exams, assisting in the enrollment of students in the Advanced Placement programs and exams followed by the tracking and reporting of final exam data in Google Sheets or Microsoft Excel, and the assisting of all facets of student testing processes from enrollment, to proctoring, to the reporting of conclusive scoring.Other duties as assigned.
